Job DescriptionJob Description

Small media firm seeks bookkeeper/administrative assistant for 8-10 hours per week on-site or hybrid. The ideal candidate would be able to perform a variety of administrative, financial, and human resources functions and activities. The applicant is highly organized, detail-oriented, self-motivated, and able to manage multiple assignments, and internal and external relationships to ensure accurate and timely outputs. The applicant must be able to successfully communicate both verbally and in writing and use good judgment when handling privileged and confidential information.

Full-charge Bookkeeping functions:

Accounts receivable, accounts payable, invoicing, daily bank balance reporting, payroll, general ledger transactions, financial statements, bank reconciliations, managing vendor files across multiple systems, W-9s, 1099s, and local and state tax filings.

Administrative Assistant functions:

Process incoming mail including the processing of receivables and payables for internal processing, maintain subscription database and distribution spreadsheets, conduct audits for compliance, assist management with sales support, assist with calendar management, scheduling of meetings, events, and travel arrangements, file management, customer service, document retention and storage, maintain confidential employee records, support recruitment efforts to source qualified candidates, including posting job ads, conduct telephone interviews, schedule interviews, order office supplies, monitoring office and responding to issues as they arise, performing other duties as assigned.

Flexible hours.

Requirements Qualifications:

  • 2-5 year prior experience
  • Advance level proficiency in QuickBooks, Excel
  • Strong Microsoft Office (Word, Excel, PowerPoint, Outlook) skills
  • Excellent written and verbal communication skills
  • Thoughtful, organized, highly collaborative with great attention to detail
  • Exercising discretion, good judgment and confidentiality at all times

Preferred Qualifications

  • Associates degree; or equivalent combination of experience and education
