We are seeking an Administrative and Accounting Coordinator to become an integral part of our team You will coordinate and oversee the organization's daily operations.

  1. QuickBooks Online Data Entry:

    • Accurately enter financial transactions into QuickBooks Online.
    • Categorize transactions according to proper accounts and classes.
    • Reconcile bank and credit card statements with QuickBooks records.
    • Ensure timely and accurate recording of all financial transactions.
    • Generate reports from QuickBooks as needed for analysis and reporting purposes.
    • Maintain an organized system for digital and physical financial documents.
  2. Front Desk Management:

    • Greet and assist visitors in a professional and courteous manner.
    • Answer incoming phone calls and transfer them to the appropriate person or department.
    • Respond to inquiries from clients, vendors, and other stakeholders.
    • Manage incoming and outgoing mail and packages.
    • Maintain cleanliness and organization of the front desk area.
    • Schedule appointments and manage calendars for staff as needed.
  3. Accounts Receivables and Payables:

    • Issue invoices to customers accurately and in a timely manner.
    • Follow up on outstanding invoices and ensure prompt payment.
    • Record and reconcile payments received with outstanding accounts receivable.
    • Process vendor invoices and ensure timely payment to suppliers.
    • Reconcile accounts payable with vendor statements.
    • Assist in resolving any discrepancies or billing issues with customers or vendors.
  4. General Administrative Support:

    • Provide general administrative support to the team as needed.
    • Assist with filing, scanning, and organizing documents.
    • Prepare correspondence, reports, and other documents.
    • Maintain office supplies and place orders when necessary.
    • Assist with other tasks and projects assigned by management.
  5. Familiarity with Accounting Principles:

    • Understand basic accounting principles and terminology.
    • Assist in preparing financial reports and statements.
    • Collaborate with the accounting team to ensure accurate financial records.
    • Participate in periodic audits and reviews as required.
  6. Communication and Collaboration:

    • Communicate effectively with team members, clients, and vendors.
    • Collaborate with colleagues to ensure smooth operations and workflow.
    • Provide support and assistance to other departments as needed.
  7. Adherence to Policies and Procedures:

    • Adhere to company policies and procedures related to financial management, front desk operations, and administrative tasks.
    • Maintain confidentiality of sensitive information and financial data.
  8. Continuous Learning and Improvement:

    • Stay updated on changes and updates in QuickBooks Online and relevant accounting software.
    • Seek opportunities for professional development to enhance skills and knowledge in accounting and administrative tasks.
