Summary: Assists with the day-to-day Human Resources, Safety, HR Payroll related tasks, and HR Manager by performing the following duties.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  1. Responsible for the effective and efficient coordination of relevant HR processes, procedures, and compliance with all relevant labor, wage and hour, and occupational laws providing support to HR Manager.
  2. Helps HR Manager coordinate meetings; maintains calendar for HR Department.
  3. Maintains personnel files for Ocean Breeze employees and affiliated companies with confidentiality of all HR-related information.
  4. Assists HR Manager with PowerPoint presentations and prepare reports and other documents.
  5. Prepares SOPs and flow charts as requested.
  6. Communicates with company’s attorney and resources under direction of HR Manager.
  7. Develops and communicates to management on relevant HR metrics.
  8. Uploads and maintains relevant documents on SharePoint.
  9. Maintains and Verify Farm Labor Contractor, and H2A agreements and compliance documents, licenses, and workers’ compensation insurance.
  10. Provides and updates all companies and ranches of all legal postings.
  11. Assists the department with disseminating, collecting, and filing forms and documents.
  12. Assists with coordination of program for meetings, luncheons, potlucks, and training; sets-up venue, decorates if needed, coordinates refreshments and or food.
  13. Update Employee Handbook
  14. Maintains new hire packets up to date, distributes updated material, verifies by performing audits for completeness, file maintenance of forms that are important to the HR department; EEOC, Arbitration Agreement, I-9, Health Insurance, Status Reports (Disciplinary Actions).
  15. Completes unemployment verification, and verification of employment forms for all affiliated companies.
  16. Prepares and submits documents to hire, transfer, or change of relationship for Ocean Breeze employees, and supervisors and managers of affiliated companies. Conducts exit interviews.
  17. Coordinates and assists the management team with Performance Review process of all companies.
  18. Coordinates employee health benefit programs and processes under the HR Manager’s supervision.
    • Coordinates open enrollment and periodic employee benefit changes. Ensures accuracy and completeness of documents received
    • End of month invoicing and enrollment
    • Handle inquiries from employee’s and Partners regarding their benefit issues
    • Maintain a positive working relationship with vendors
  19. Coordinates and monitors workers’ compensation claims and the return-to-work program from beginning of claims to the closure of the cases with the Safety Department Team.
    • Authorizes medical visits to our Workers Compensation provider
    • Maintains accident investigation documentation packet, employees’ restrictions, assist employees, if necessary, in this process
    • Assist with training on workers’ compensation handling, reporting, training documentation
    • Have all workers’ compensation files for review current
  20. Informs employees of the details of the company’s benefit programs
    • Process and coordinate employee time off, leaves of absence, termination, and claims, maintaining all related records
    • Assist employees with the resolution of benefit-related issues, respond to queries and requests in a timely manner
  21. Provides support to HR Manager in all areas related to employee relations, union avoidance, training, performance management, or investigations.
    • Work with employees and managers to resolve conflicts
    • Administers and monitors disciplinary process from the beginning to the end of process
    • Receives employees’ complaints and conducts investigations as needed under manager’s advise
  22. Prepares and /or submits various required regulatory documents or reports by deadlines.
    • Maintains Cal OSHA 300 logs for all affiliated companies
    • Prepares and/or submits online EE0-1 annual report by deadline
    • CA Pay DATA Report

  • Associates of Arts degree

Language Skills

  • Oral and written communications skills in Spanish and English
  • English/Spanish translation skills required
  • Ability to write routine reports and correspondence

Computer Skills

  • Internet search engines; MS Excel, Word, and PowerPoint
  • Knowledge of Farmers Payroll Systems preferred
