As an Accounts Payable Specialist at Prescott's, you will play a crucial role in managing the company's financial transactions. You will be responsible for timely and accurate processing of invoices, reconciliation of accounts payable records, and ensuring compliance with company policies and procedures. With your attention to detail and strong organizational skills, you will contribute to the smooth operation of the finance department, allowing the company to maintain its commitment to outstanding service.

Responsibilities
  • Process vendor invoices and prepare payments for approval
  • Reconcile accounts payable transactions, ensuring accuracy and timeliness
  • Verifying purchase orders, ensuring compliance with regulations such as 1099 issuances
  • Assist with the preparation of financial reports and analysis as required
  • Maintain vendor files and ensure all documentation is complete and accurate
  • Handle all aspects of credit cards including setting limits, managing new users, approving expense reports, and providing assistance to staff as needed
  • Receive and verify expense reports, reconciling them with account balances and financial records
  • Assist in maintaining accounting records and ledgers by reconciling monthly statements and transactions
  • Respond to vendor inquiries, resolving any issues or discrepancies in a timely manner
  • Collaborate with other departments to ensure proper coding and classification of expenses
  • Ensure compliance with company policies and procedures and assist with internal and external audits

Requirements

  • High school diploma required; or Bachelor's degree in Accounting or a related field
  • Minimum of 5 years of experience in accounts payable or a similar role
  • Certification as a Certified Accounts Payable Professional (CAPP) is a plus
  • Proficiency in accounting software and MS Office applications, especially Excel
  • Strong analytical skills and attention to detail
  • Reliable and trustworthy are paramount for this role
  • Excellent organizational and time management skills
  • Ability to meet deadlines in a fast-paced environment
  • Exceptional communication and interpersonal skills
  • Ability to work independently and efficiently
