Position Specifics
The Associate Manager of Advancement is responsible for assisting and supporting the school's fundraising operations. This motivated individual works with other Advancement team members, alumni, parents, faculty, Board members, and other constituents to further the School's mission by fundraising and stewarding relationships with friends and donors. The Advancement Associate will also assist in successfully handling the day-to-day database operations of a busy advancement office, balancing multiple competing deadlines.

Responsibilities of this position include:

  • Managing data and entering and tracking gifts in the Raiser’s Edge donor database
  • Maintaining the accuracy and integrity of the database by ensuring that all information is kept current and up to date, including constituent and prospect activity and demographic information; queries and exports for appeals and events; action assignments for staff; pledge, gift, and event fee entry and tracking
  • Troubleshooting database issues.
  • Creating and processing regular donor and statistical reports for Head of School, Advancement Team, CFO, Board, and auditors
  • Working with the Business Office to reconcile gift records
  • Producing regular tax receipts for donors
  • Preparing board reports and annual reports
  • Providing support to various committees and volunteers during fundraising campaigns and events
  • Working closely with the Advancement Department to assist with special events in support of fundraising efforts; Assisting with creating and finalizing guest lists.
  • Mailing appeals and other correspondence to potential donors, volunteers, and guests to inform them of events and activities
  • Assisting with The Darrow School Reunion efforts
  • Supporting other communications efforts relating to Advancement
  • Drafting and editing alumni notes and In Memorium for the Peg Board
  • Performing basic administrative duties such as filing, data entry, maintaining a filing system, and more
  • Assisting with ordering and preparing cultivation materials for donors
  • Attending all departmental meetings and collaborating with colleagues on projects that involve shared responsibilities
  • Assisting with the compilation of materials for appeals, grants and proposals, donor visits, and events
  • Assisting with staffing at events, constituent interaction, registration, set up, and clean up
  • Manage the Alumni Relations Facebook personality including communicating with alumni through, and replying to messages within, the messenger applications
  • Event planning - schedule, activities, securing vendors, coordinating with Dining Service and Facilities
  • Working with class agents and other key alumni to spread the word
  • Manages the creation of promotional material (save the dates, invitations, social media events)
  • Coordinates rentals and vendors
  • Serves as the point of contact when alumni call or visit the School
  • Serve as the key planner for Darrow School Reunion efforts including:

Required skills/qualifications:

  • Associates Degree or three years of development/fundraising experience in educational and/or non-profit organizations preferred
  • Proficiency with the Raiser’s Edge database preferred but not required
  • Experience with Microsoft Word (specifically mail merge) and Excel; Adobe Acrobat; and Google Sheets, Docs, and Gmail preferred
  • Familiarity with handling confidential information appropriately
  • Displays exceptional time-management and organizational skills as needed for meeting deadlines
  • Demonstrates a professional demeanor whether speaking to others in person, over the phone, via email or through letters
  • Works well alone as well as under direct supervision
  • Demonstrated excellent written and oral communications skills and some experience with writing and editing copy
  • Willingness to work nights and weekends as necessary
  • Flexibility, maturity, enthusiasm, and a sense of humor
  • A deep appreciation for the vision, mission, and values of the school
  • Knowledge of general fundraising principles
  • Proficiency in relevant advancement technology
  • An aptitude for problem-solving
  • Must have a valid driver’s license
