The administrative assistant will organize and coordinate office administration and procedures, to ensure organizational effectiveness, efficiency, and safety. The Office Administrator is responsible for managing intra-office communication protocols and streamlining administrative procedures.

The successful office administrator is an energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people.

Administrative Assistant Responsibilities:

· Organize and schedule company meetings and appointments

· Manage executives' schedules, calendars, and appointments

· Maintain office policies, operations, and procedures as necessary

· Point person for office maintenance, mailing, shipping, supplies, office equipment and errands

· Coordinate with IT management company(s) on all office equipment

· Manage and maintain advertising of machinery listings

· Preform administrative duties such as data entry for managing contacts in CRM and typing machine specifications in machine listings

· Perform receptionist duties: greet visitors, and answer and direct phone calls

· Perform review and analysis of special projects and keep the management properly informed

· Ensure filing systems are maintained and current

· Ensure security, integrity, and confidentiality of data

· Monitor and maintain office supplies inventory

· Maintain a safe, secure, and pleasant work environment

 

Job Requirements:

  • High School Diploma
  • Proven office management, administrative, or assistant experience
  • Knowledge of office management responsibilities, systems, and procedures
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in Microsoft Office
  • Social networking and marketing experience
  • Knowledge of clerical practices and procedures
  • Knowledge of QuickBooks a plus
  • Knowledge of photo editing and/or Adobe software a plus
