Position: Part-Time Personal Assistant for Two Principals in NYC

Job Description: We are seeking a dedicated Part-Time Personal Assistant to support two principals based in New York City. This role offers flexibility with a part-time schedule while still playing a crucial role in ensuring the smooth operation of their daily lives. Responsibilities include handling packages, processing returns, and coordinating any outstanding matters that require follow-up with the company's Executive Assistant.

Key Responsibilities:

  • Package Handling: Efficiently manage incoming and outgoing packages/mail during designated hours, ensuring timely delivery and retrieval.
  • Returns Management: Facilitate the return process for items within the agreed-upon schedule, maintaining accurate records and ensuring refunds or exchanges are processed promptly.
  • Office Coordination: Work closely with the Executive Assistant to coordinate and follow up on any outstanding tasks or matters requiring in person attention, ensuring seamless communication and execution.
  • Organization: Maintain meticulous organization of relevant documents, schedules, and correspondence to streamline workflow and optimize efficiency.
  • Communication: Serve as a point of contact for internal and external inquiries during scheduled hours, demonstrating professionalism and discretion in all interactions.

Requirements:

  • Previous experience in a similar role, preferably supporting high-level executives or principals.
  • Exceptional organizational and multitasking skills, with the ability to prioritize effectively within the part-time schedule.
  • Strong communication skills, both written and verbal, with a keen attention to detail.
  • Proficiency in Google's Workspace for communication.
  • Discretion and confidentiality in handling sensitive information.
  • Flexibility and adaptability to meet the evolving needs of the principals within the designated part-time hours.
  • Residency in or near New York City with the ability to commute as necessary during scheduled hours and in case of emergencies while traveling (ex. my building flooded).

Ideal candidate:

  • Is naturally curious and enjoys learning
  • Has experience with Google's Workspace (Gmail, calendar, google meets, google sheets) and Microsoft's excel
  • Organized and takes pride in their attention to detail
  • Will not be afraid take charge and be on top of tasks 

Schedule:

This is a part-time IN PERSON role. The hours would be 9:00 AM - 1:00 PM, one to two days a week (days to be determined, flexible). This part-time role offers an excellent opportunity to be an integral part of a dynamic team, supporting two principals in managing their daily affairs with efficiency and professionalism while providing flexibility to accommodate other commitments.
