Requirements: 

High School diploma or equivalency and three years of progressively responsible administrative/office management experience; or graduation with an associate’s degree in Secretarial Science, Business Administration, or a related discipline and one year of progressively responsible administrative/office management experience; or bachelor’s degree, preferably in Business Administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Responsibilities:

Budget: Oversee the departmental operating budgets.

Transfer money between funds and accounts; Prepare online requisitions from all funding sources; Follow up with the Purchasing Department; Prepare travel authorizations and reimbursements for all staff; Provide backup for the Department Business Officer; Prepare check requests.

Answer inquiries (Customer service): Making sure that all inquiries in person, by email, or by telephone are answered.

Make sure the SGS’s phones and front desk are covered for all business hours (8:00 – 5:00 M-F), check the SGS’s email inbox regularly, be familiar with graduate admission process, graduate programs, graduate assistantships/tuition remission, and graduate forms to be able to answer inquiries; 

Hiring new staff: be able to work with PeopleAdmin 

Complete documents related to establishing positions and the hiring process. Following up with Human Resources about the paperwork; Schedule interviews; Sit in on interviews; Complete paperwork for the selection process and submit it to Human Resources; 

Scheduling meeting: Schedule regular departmental meetings and take minutes of the meetings. Schedule meetings and appointments for the Graduate Dean and SGS’s staff.  Attend and take minutes at meetings when requested by Graduate Dean.  

Graduate Council: Receive SGS Council meeting agenda items and organize and post along with e-submitted documents, council meeting minutes, agendas, and action items summaries on Black Board; Record activities/actions of Graduate Council meetings (held monthly) and provide summary reports of council meeting action items disposition to University Accreditation, Faculty Senate, Office of the Provost, and the Registrar’s Office; Maintain paper and electronic files related to graduate students, graduate faculty, and graduate curriculum.
