Our organization is seeking an experienced Executive Assistant to join our team

Job Summary

The Executive Assistant will provide high-level administrative support to the Chief Financial Officer and other senior level executives. This role requires exceptional organizational skills, the ability to manage multiple tasks simultaneously, and experience supporting global manufacturing operations. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to liaise effectively with global partners, legal counsel, and key stakeholders. Additional responsibilities include coordinating domestic and international travel, collaborating with the finance department on various projects, management of compliance filings, and performing other administrative duties as assigned.

Salary Commensurate with Experience.

Essential Duties and Responsibilities

  • Administrative Support:
    • Manage and maintain the CFO’s schedule, including domestic and international travel arrangements, meetings, and conferences.
    • Coordinate complex calendar management across multiple time zones.
    • Prepare and review documents, reports, and presentations for accuracy and completeness.
    • Handle confidential and sensitive information with discretion.
  • International Liaison:
    • Serve as the primary point of contact for international partners, clients, and stakeholders.
    • Facilitate communication between the CFO and global offices, ensuring alignment and timely response to queries.
    • Organize and coordinate international events, meetings, and conferences.
    • Assist with the preparation and follow-up of international business trips, including itineraries, visa applications, and logistical support.
  • Project Management:
    • Support the CFO in managing and prioritizing various international projects.
    • Track progress of initiatives and ensure deadlines are met.
    • Coordinate with different departments and teams to ensure smooth execution of international projects.
  • Communication:
    • Draft, proofread, and edit correspondence, emails, and other communications on behalf of the CFO.
    • Prepare meeting agendas, take minutes, and follow up on action items.
    • Maintain and update the executive’s contacts and ensure effective communication flow.
  • Research and Analysis:
    • Conduct research on international markets, trends, and competitors as required.
    • Provide insights and recommendations to support strategic decision-making.
    • Compile and analyze data for reports and presentations.

Qualifications

  • Bachelor’s degree in Business Administration, Finance degree, or related field.
  • 3- 5 years of experience as an Executive Assistant or in a similar role, preferably with international exposure.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook). Emphasis on ability to create PowerPoint presentations.
  • Excellent written and verbal communication skills in English; German fluency or other additional languages are a plus.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • High level of integrity, professionalism, and confidentiality.
  • Flexibility to travel as required.
  • Ability to work independently and as part of a team in a fast-paced environment.

Preferred Qualifications

  • Experience working in a multinational corporation or organization with global operations.
  • Familiarity with international business practices and cultural sensitivities.
  • Proficiency in using collaboration tools such as Zoom and Microsoft Teams.

Work Environment and Environmental Conditions

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 25 pounds as needed.
  • Must be able to access and navigate each department at the organization’s facilities.
  • Comfortable with working in a manufacturing environment.
  • Approximately 10% Travel
