Position Purpose:

To provide assistance to the Regional Manager – East Coast and Property Managers in managing SK Medical Management’s properties and core work responsibilities.

The Assistant Property Manager will be actively engaged in assisting with efforts to monitor, maintain and enhance the physical environments of the properties as well as the financial performance of the properties, with a focus on creating a positive and professional experience for our clients/tenants.

The APM will also be responsible to assist with contract and project tracking, esg date collection and entry, and potential management of out of state buildings that will require a minimum of quarterly travel.

Essential Job Functions:

· Under the direction of the Regional Manager-East Coast, the Assistant Property Manager will perform many of the duties of a property manager including on-call responsibilities. The APM will also assist in esg work, project and contract tracking and out of state management assignments. Examples of such functions are provided below but are not limited to the list and new functions may be added as needed.

· Ensure a “Best in Class” occupancy experience for SK Medical Management’s tenants/customers by maintaining a consistently high level of service/responsiveness and professionalism.

· Field requests from tenants and distribute work orders to Building Engineers through SK Medical Management’s web-based property management software (when applicable). Monitor progress of work orders.

· Assists in coordinating tenant move-ins and move-outs, and walk-throughs with tenants.

· Responsible for maintaining tenant emergency contact lists and property data registers.

· Prepare annual property budgets and present that work and monthly financial work for assigned properties.

· Rent collections at assigned properties.

· Assist with Fire Life Safety processes and all code related preventive maintenance work. Create and monitor critical dates schedule for items and ensure they are on the work order system with proper dates and descriptions. Oversee on-site manuals to ensure they are located in the main mechanical room or managers office and that all hard copy forms are complete. Conduct/participate in regularly scheduled fire drills at properties.

· Serve as point of contact for tenants for daily inquiries and tenant needs.

· Track and code bills and invoices for each property.

· Work with subcontractors on tenant improvement projects.

· Monitor exterior landscaping.

· Conduct regular site visits/inspections with janitorial vendors and maintenance personnel.

· Respond to requests for keys or card keys for tenant as needed.

· Assist Property Manager with assessing the competitive marketplace. Ensure that SK Medical Management managed properties are effectively positioned to compete for, win, and retain quality tenants.

· Assist in maintaining and enhancing the interior and exterior physical attractiveness of SK Medical Management’s managed properties through site inspections and follow up on all work assignments generated from inspections.

· Provide oversight and management of current vendors through relationship building and accountability.

· Work with SK Medical Management assigned staff to participate in companywide or site-specific RFP processes to vendors and assist with managing bid process for vendors at time of contract renewals or new contract requests.

· Scheduling of vendors and contractors to perform various services at the properties.

· Adherence to Property Management operational policies and procedures.

· Ensure management and supplier agreements are appropriately documented to mitigate risk to SK Medical Management and its investors/clients. Ensure use of SK Medical Management contracts and forms for all executed agreements and sign as Agent for Owner.

· Develop relationships and open lines of communication with staff assigned to property such as day porters and service technicians to ensure tenant requests and work orders are completed in a timely manner.

· Act as an ambassador to SK Medical Management in supporting and demonstrating SK Medical Management’s Founding Principles as well as supporting external and internal clients through positive and professional interactions.

· Various administrative projects, as requested by the Regional Manager.

 

Educational/Experience Requirements:

· Proven record of providing excellent internal and external customer service.

· Commercial property management experience required.

· Knowledge of building systems preferred, HVAC, Electrical, Plumbing, Fire & Safety, etc.

· Experience with financial reports and ability to provide financial analysis and budget completion.

· High energy and consistent positive attitude.

· Excellent oral and written communication skills with an emphasis on customer service.

· Use of various computer software applications related to general business practices.

· Bachelor’s degree or equivalent work experience and evidence of continuing education.

· Participation in professional and community organizations is preferred.
