Our client, a well-established nonprofit foundation in downtown San Francisco (near Civic Center) is looking to fulfill a need for a full time temp-to-hire Administrative Assistant. This assignment would last for about twelve weeks, and then transition to direct hire with this client. Direct hire offer is union based in compensation and benefits structure.

Employment Type: Temp-to-Hire | (32 Hours / Week)

  • Monday - Thursday: 8am – 3:30pm PT
  • Friday: 8am - 12pm PT

Pay Rate: $30.00 / Hour

Responsibilities:

  • Daily inbox and calendar management to internal staff. Including meeting scheduling, travel coordination support and correspondence follow up via email, phone, and mail
  • Coordinating in-office meetings, business engagements and events for the organization. Including budget management, registrations, vendor coordination, on-site/off-site planning, and post-event procedures.
  • Document management and drafting of various confidential member documents, applications, invoices, certifications and internal reports. Filing and tracking documents as needed
  • Routine database administration, date-entry and profile management of member related information and records. Including reporting and tracking data as needed.
  • Coordination with outside vendors regarding on-site lunch accommodations, office supply inventory and ad-hoc special projects as arise
  • General bookkeeping and expense processing for business development, event or vendor related services
  • Clerical support internal to internal filings and records management. Including digital services: scanning, printing, faxing and data conversion
  • Administrative and coordination support to a wide range of project, business initiatives and programs

Qualifications:

Qualified candidates should possess a bachelors in business, communications or related field of study. Extended studies in Finance or Project Management are a plus. A minimum of two years’ administrative, executive assistant or project management experience. Proficiency in MS Office (Outlook, Word, Excel, and PowerPoint). Strong us of Adobe Acrobat. Demonstrate use of good judgment and strong interpersonal skills. Clear, effective, and concise communication abilities High-level time management and ability to works efficiently in a fast-paced dynamic office environment. Collaborates harmoniously and effectively with others as part of a team, in addition to self-starter mentality when needed.
