Administrative Assistant

Our client, a property management company based in the financial district in San Francisco is hiring for an Administrative Assistant to join their team on a part time basis. The Administrative Assistant will will assist the Property Management team on day-to-day operations as assigned by Chief Operations Manager and CEO, overseeing the running of high rise office buildings and two small size buildings in the financial district area.
This role will be part time, 2-3 days per week.
Responsibilities
- Answer and direct calls
- Communications with tenants, vendors, contractors, and service providers
- Send courtesy reminders to tenants regarding rent payments due in accordance with office procedures
- Input work orders for repair/maintenance items and communicate with building engineers to complete repair/maintenance items
- Respond to tenant complaints and needs while demonstrating courtesy and professionalism
- Organize and maintain office files and records in proper order
- Check tenant insurance expirations and send courtesy reminders
- Preparing memos to notify security, engineers, and/or tenants regarding building activities as needed.
- Assist Chief Operations Manager on paperwork, scanning/filing, memos, meeting schedules, purchase orders, and other administrative tasks as assigned
- Conduct weekly site walks and notify Chief Operations Manager findings and items needing attention/repair (all buildings are within 1-2 blocks radius)
Requirements
- Strong clerical and administrative skills with the ability to multi-task and work independently on assignments
- Must be organized, efficient and detail-oriented
- Possess strong communication skills, both written and verbal, as well as having good interpersonal skills
- Proficient with MS Word and Excel
- Commercial Property Management experience is a plus
- Customer Service experience is a plus
Pay: $23-25/hour
