About the Job

The Administrative Assistant is a key player on our team with responsibility for assisting with the efficient operation of the Fire and Life Safety Division and providing direct support to the Administrative Manager. Key duties include the following:

Communication:

  • Being the first line of contact with customers and providing quality, proactive and responsive customer service as directed or on behalf of the Admin Manager. Evaluating customer requests for service to determine needs and following through.
  • Cultivating positive working relationships with internal and external stakeholders (customers, vendors, government representatives, employees) and representing the Admin Manager with professionalism and diplomacy
  • Receiving incoming communication and emails, screening and reviewing contents, determining importance or priority, flagging essential messages and relay requests, needs and problems, project information, estimated time to complete jobs, labor hours and parts or material used.
  • Drafting emails as needed, responding and routing correspondence on a timely basis.
  • Preparing, editing, and filing (both hard copy and electronic copy) documents and email correspondence and reports

Calendar Management:

Scheduling meetings appointments or technician service; anticipating scheduling conflicts and proactively resolving them.

Project Assistance:

  • Assisting the Administrative Manager and managing special projects, conducting research analyzing data and preparing reports as required.
  • Being highly responsive to direct and expected requests; delivering swift, accurate, and thoughtful replies to requests and follow through on all action items.

The ideal candidate will be a dedicated team player; highly organized with strong communication and customer service skills; computer savvy; detail oriented; dependable; patient; able to follow and implement direction while being equally comfortable exercising discretion and independent judgment to recommend a course of action and speaking confidently and professionally with customers and staff.

Job Requirements

The successful candidate must meet the following requirements:

  • A minimum of one year of administrative and office experience performing similar duties, preferably in an HVAC, construction, plumbing, or similar environment
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills, with a proven ability to meet deadlines.
  • Ability to function well in a high-paced work environment
  • Strong computer skills and knowledge of standard office software (Office 365, Outlook, Teams, Word, Excel), and online databases and platforms
  • Strong attention to detail and an effective, organized approach to work
  • Ability to work in a team environment, while working independently and with minimal supervision
  • Knowledge of administrative procedures, and customers and operating environment and requirements for a construction trade environment.
  • High level of proficiency in English language (read/write/speak)
  • High school diploma or equivalent
  • Note: Warehouse, retail and restaurant/foodservice experience is generally not qualifying. Candidates need to demonstrate relevant experience performing similar duties in their application.
