Well then welcome to Market Source Restaurant Supply Not only do we have the largest selection in the state, but we are seeking an Assistant To The VP Of Sales to join our team You will provide high-level administrative support for a energetic top sales person at our company.

Qualifications:

  • Previous experience as an executive secretary, event coordinating assistant, strong administrative assistant, or in other related fields in foodservice
  • Strong organizational skills
  • Active Listener
  • Ability to prioritize and multitask, deadlines
  • Strong attention to detail

Responsibilities:

  • Answer the phone, take orders and enter into Acumatica (our ERP system). Sometimes enter orders from email and text as well.

  • Serve as back-up for inside sales lunches for the front counter if needed.

  • Throughout the day, review, update, and release orders from the website.

  • Check Sales Manager’s email throughout the day for orders and items that need taken care of, forward emails to my email. Follow up with a “Done” on all completed email tasks that she or I have forwarded to myself to perform.

  • Check Sales Manager’s “Open Sales Order Report” daily.

  • Create quotes for Sales Manager in Auto Quotes and email her the quotes on “clean” emails so she can forward them to the customer.

  • Order samples as requested by customers and Sales Manager.

  • Call manufacturers and check on Market Source P.O.s (i.e. stock levels, ship dates, tracking availability, etc.)

  • Email quote requests on furniture, equipment, and smallwares to manufacturer’s reps or rep groups.

  • Makes notes on orders in Acumatica so the warehouse knows about “special” needs on orders.

  • Email Purchasing AQ spreadsheets on special orders and request that she create the item and sales order in Acumatica.

  • Check Location and Fuel Search (loves.com) for phone numbers for new Love’s Stores and email that information to Accounts Receivables to update the customer account in Acumatica.

  • Email Accounts Receivables new customer requests and have her set them up in Acumatica under Sales Manager as Salesperson with the appropriate information.

  • Place service calls sent to Sales Manager called in by customers.

  • Help Sales Manager and customers find “special” or non-stock items that we may not carry.

  • Help find replacement items for items that are discontinued by manufacturer.

  • Maintain Order Guides in Auto Quotes by adding or subtracting items from Master lists in AQ.

  • Email web team to add or remove any items from the customers online order guide in Magento.

  • Process RMA (Return Merchandise Authorization) Forms for items that a customer needs to return.

  • Email Warehouse Manager to schedule or check availability to schedule deliveries outside of the normal daily deliveries.

  • Obtain freight quotes through Unishippers and add to any applicable items being quoted in Auto Quotes.

  • As needed, assist Sales Manager’s customers when shopping in store.

  • Assist with large customer PO orders. This work is done in collaboration with Accounting.

  • Call Site Supervisors on large customer orders to verify if the site is ready for shipment of order. If ready, make notes on Sales Order so they show up in Acumatica when it is time to ship out.

  • Enter smallware packages into Auto Quotes.

  • Work with Purchasing to make sure all items are in stock prior to the delivery of smallware packages or equipment packages.

  • Email Purchasing requesting her to order Special Order or Non stock items that have been entered on a Sales Order in Acumatica.

  • Find and price parts as needed for Sales Manager’s customers. Email them a quote and order through Purchasing once the quote is approved.
