Supervisory Responsibilities:
  • Oversee the daily work activities of the office
  • Handles or assist with the discipline and/or termination of employees in accordance with company policy
Duties and Responsibilities:
  • Weekly Billing
    •  Generate and process weekly billing reports accurately and efficiently.
  •  Monthly Audits of All Billing
    • Conduct monthly audits to ensure accuracy and compliance with billing
      procedures.
  • Authorization Management
    • Manage the input of authorizations, both initial and ongoing. Submit treatment
      plans to Tricare and Medicaid for approval.
  • Report Due Dates
    • Monitor and manage authorization dates to stay ahead of report due dates. 
  • Communication Management
    • Relay conversations and emails between different departments, particularly
      with Missing Piece, and follow up as necessary.
  • Documentation Submission
    • Submit necessary documents to Missing Piece, ensuring completeness and
      accuracy.
  • Budget Management
    •  Assist in the management of the office budget, tracking expenses and ensuring
      financial goals are met.
  •  Scheduling Assistance
    • Assist with scheduling tasks as needed, optimizing efficiency in daily
      operations.
  • Payroll Processing
    • Complete bi-weekly payroll processing accurately and in a timely manner.
  • Staff Communication
    • Send session note reminders to staff prior to the end of the pay cycle.
  • Client Interaction
    • Manage client conversations, ensuring a high level of customer service.
  • Google Drive Management
    • Organize and manage files on Google Drive for efficient data retrieval.
  • Onboarding and Rate Negotiations
    • Assist with onboarding processes and rate negotiations for new staff.
  • ADP and Tax Responsibilities
    • Handle payroll-related tasks using ADP. Manage tax documents and
      obligations for out-of-state employees.
  • Accountant Communication
    • Maintain communication with the accountant to address financial queries and
      requirements.
  • Hiring Ads Management
    • Oversee the creation and management of hiring ads.
  • Practice Management Software
    •  Enter new clients and staff into the practice management software.
  • Staff and Client Status Management
    •  Set staff/clients to inactive status as needed.
  • Session Note Organization
    •  Organize session notes for easy access and reference.
  • Ensure Contract Compliance
    • Ensure all staff adhere to contractual hours/policies/procedure.
    • Work with Scheduler to ensure billable hours are maintained for clients and
      hit budget requirements.

  • Onboarding
    • Resume review, setting up interviews, conducting interviews, sending
      contracts, orientation trainings (practice management software, procare, slack,
      mandated reporter, telehealth),
    • RBT certifications: eprep, tricare, background checks
  •  Session Note Writing
  • Additional Duties
    • Undertake other duties as assigned by the supervisor.
Required Skills/Abilities:
 Ability to learn new material quickly;
 Proactive self-starter; able to work independently;
 Knowledge of office management procedures;
 Excellent communication and interpersonal skills;
 Strong organizational skills and attention to detail;
 Effective time management with a proven ability to meet deadlines;
 Proficient with Microsoft Office and Google Drive

Preferred Skills/Abilities:
Background in Billing
Education and Experience:
 High school diploma or equivalent required. Associate degree in office administration or
similar preferred.
 At least one year of experience in a similar role or with similar responsibilities.
Physical Requirements:
 Must be able to sit in front of a computer for extended periods.
