he Iowa Funeral Directors Association is seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role involves a variety of clerical tasks to assist in daily operations, including managing phone calls, organizing files, preparing documents, maintaining a database and directory, assisting with social media, education and other duties as assigned. The Administrative Assistant will play a key role in maintaining office efficiency and fostering a positive working environment. The role will support our CEO and Membership Engagement Coordinator, the association members, and our mission of promoting and supporting funeral service excellence. IFDA has three main goals: Engage, Educate and Elevate. We achieve these goals with a strong commitment to the funeral profession, the funeral home owners and directors and the communities they proudly serve. This position will play a significant role in the achievement of these goals.

Position Summary: The Administrative Assistant collaborates with staff to support the mission of IFDA and represent its values when interacting with members and the community. This position is a key link in supporting the efficient and smooth day-to-day operations of the organization. We are looking for someone that can adapt quickly, willing to learn new things, and be a part of a small but fun and collaborative team. Confidentiality in this role is a must

Key Responsibilities

  • Perform various administrative tasks, including answering phones, responding to emails, and managing correspondence.
  • Organize and maintain files and records, both electronic and physical.
  • Prepare and modify documents, including reports, memos, and presentations.
  • Assist in scheduling appointments and coordinating meetings, conferences, and travel arrangements.
  • Handle incoming and outgoing mail and packages.
  • Assist with data entry and maintaining databases and membership directory.
  • Provide general support to visitors, clients, and employees.
  • Collaborate with other staff to ensure smooth office operations.
  • Perform other clerical duties as assigned.
  • Assist in executing all facets of the Association’s Strategic Plan.
  • Collaborate on and execute social media campaigns. Monitor and update the IFDA Facebook page.
  • Contribute to the visibility of the organization by representing IFDA at events. Bring ideas to the organization to contribute to our on-going effort to understand and support our membership. Promote IFDA membership.

Skills and Requirements

Commitment to our mission, vision and belief in the value of the funeral profession. Excellent customer service skills. Outstanding verbal/written communication skills. 2 years of work experience with preference given to those with nonprofit experience. Must have proficiency with Microsoft Office products (Word, PowerPoint, Outlook, Excel).

Ability to manage multiple tasks, projects, and priorities effectively and professionally.
