Executive Assistant, Talent Acquisition

We are seeking an Executive Assistant with Talent Acquisition Coordination experience to join our dynamic team at a prestigious studio. Located in the scenic Presidio, our office offers a unique work environment with exciting perks and opportunities for growth. As a member of our team, you will play a crucial role in supporting our Global Director of Talent Acquisition and the broader San Francisco Talent Acquisition team.
Pay Rate: $30-35/hour based on experience
Contract: 12-months with likelihood of extension or conversion
Location: MUST be local to San Francisco and willing to go onsite to work at least 4 days per week.
Key Responsibilities:
- Provide comprehensive administrative support to the Director of Talent Acquisition, including managing calendars, scheduling meetings, and coordinating events with various departments and partners across the organization.
- Organize and facilitate logistics for meetings, events, and guest speakers for the Talent Acquisition team.
- Attend meetings to contribute insights, capture action items, and ensure follow-up on tasks.
- Assist in drafting internal communications and support the development of the Global Talent Acquisition Monthly Newsletter.
- Create presentations, spreadsheets, and organize files in an efficient manner.
- Manage the Talent Acquisition team email alias and provide timely responses and support to employees.
- Receive, track, and distribute referrals from colleagues.
- Prepare and track departmental expense reports in adherence to company policies.
- Maintain departmental contact lists and handle incoming mail and packages.
- Ensure accuracy of online job postings and social media presence.
- Coordinate international and domestic travel arrangements for the Director of Talent Acquisition.
- Assist recruiters, hiring managers, and HR team with special projects as needed.
Qualifications:
- Strong organizational and project management skills.
- Excellent written and verbal communication skills.
- Ability to prioritize competing tasks and make quick, informed decisions.
- Exceptional client service skills and ability to interact effectively with all levels of the organization.
- High attention to detail and precision in information management.
- Maturity and discretion in handling confidential information.
- Proficiency with Google Suite, Microsoft Office, Canva, Adobe, Mailchimp, and WordPress.
- Minimum of two years of experience in Human Resources, preferably in Talent Acquisition Support.
- Two years of experience in customer service, sales, administration, project management, or event coordination, with an interest in the People and business side of the media and film industry.
- Bachelor's degree in Human Resources, Communications, Media, Film, or related field preferred.
