Position Overview:

The Catering Administrative Assistant will play a crucial role in generating revenue by proactively identifying and pursuing new business opportunities, nurturing client relationships, and coordinating the sales process for catering services. This position requires a strong blend of administrative skills acumen, customer service skills, computer skills and attention to detail to ensure the successful execution of events and the satisfaction of our clients.

Key Responsibilities:

Client Coordination:

· Serve as the primary point of contact for catering inquiries via phone, email, and in-person meetings.

· Assist clients in selecting menu items, determining quantities, and planning logistics for events.

· Coordinate with clients to finalize event details, including timelines, dietary restrictions, and special requests.

Order Processing and Documentation:

  • Process catering orders accurately and promptly using our internal systems.
  • Generate invoices, quotes, and contracts as needed.
  • Maintain organized records of all catering orders, payments, and client communications.

Vendor and Supplier Relations:

  • Communicate with catering vendors and suppliers to confirm orders and ensure timely delivery.
  • Manage inventory of catering supplies and materials, placing orders as needed to maintain stock levels.

Administrative Support:

  • Provide general administrative support to the catering department, including scheduling meetings, preparing presentations, and maintaining filing systems.
  • Handle incoming and outgoing correspondence related to catering inquiries and orders.

· Maintain accurate records of sales activities, client interactions, and event details in the CRM system.

· Assist with marketing initiatives, such as developing promotional materials and participating in marketing campaigns, to drive brand awareness and generate leads.

Qualifications:

· Proven experience (1-3 years) in an administrative role, preferably in the hospitality or catering industry.

· High school diploma or equivalent required.

· Additional certification or coursework in hospitality management or business administration is a plus.

· Strong organizational skills with the ability to manage multiple tasks simultaneously.

· Excellent communication and customer service skills, both written and verbal.

· Proficiency in MS Office (Word, Excel, Outlook) and experience with catering software or CRM systems is a plus.

· Detail-oriented mindset with a focus on accuracy and efficiency.

· Ability to work effectively under pressure and meet tight deadlines.

· Flexible schedule with availability to work evenings, weekends, and holidays as required by event schedules.

Compensation:

$20.00 per hour plus tips

Performance-based bonus
