Job Description

The Project Coordinator works collaboratively with current Project Mangers, as well as customers and vendors, to contribute to project management execution and success. This opportunity requires an individual to be an organized, solutions-oriented problem solver, while also being an effective communicator who can develop customer relationships. This person will use skills acquired through the construction industry (or similar industry). Doors, frames, and hardware (DFH) industry experience is preferred, but not required. This individual is expected to exhibit the core values of the company - to be accountable, relationship driven, solutions focused, and striving for excellence.

Mission

The mission for this role is to assist Project Managers accurately and efficiently, driving customer satisfaction and project margins.

Outcomes

  1. Actual project margin greater than or equal to bid margin
  2. $0 project management-related back charges
  3. 100% product delivery matrix communicated to customer and internally
  4. Maintain three (3) months out on project orders based on customer request
  5. Zero project over billings - create S.O.V. and maintain project workbook and backlog report
  6. High customer and Project Manager satisfaction

Position Reports To

Director of Project Management

Responsibilities

  • Collaboration with Project Managers on project-specific tasks
  • Collaboration with Detailer initially for review of project scope
  • Create and communicate project-specific Schedule of Values for customer invoicing purposes
  • Create and submit project-specific rough opening dimensions
  • Create, maintain, and communicate project-specific product delivery matrix
  • Review Estimators take-offs compared to updated prints for accuracy
  • Create project specific material orders/production spreadsheets aligned with project phasing and our delivery matrix
  • Create, maintain, and communicate installation scope (if applicable) to the CMF Installation Mgr.
  • Creating and implementing door hardware keying schedules
  • Write detailed RFI’s (Request for Information) outlining any issues or verifications required
  • Review post bid addendums, proposal requests, RFI’s, ASI’s, etc.
  • Ensuring project-specific vendor quotes don’t expire
  • Documenting all aspects of any given project through contracts, change orders, sales orders, purchase orders, order acknowledgements, submittals, emails and/or other forms of correspondence
  • Working with suppliers and vendors for product information, lead-times, and shipping details
  • Direct communication with customers via phone, email, or jobsite visits

Education/Experience Preferences

1. Four-Year degree in Construction Management or related field

OR

2. Combination of two-year certification in Construction Management (or related field) and “real-world experience.”

  • a. Three or more years in commercial construction field leadership with emphasis on doors, frames, and hardware
  • OR
  • b. Two or more years in project management within construction/building materials

OR

3. Four or more years of commercial construction field leadership with emphasis on doors, frames, and hardware

OR

In addition to the above Dealers sells and installs window treatments by Hunter Douglas and Levolor and has recently added bath hardware, toilet partitions and fire extinguishers to its product offering for commercial builders.

The product Dealers Wholesale offers is only part of the equation. Our staff of dedicated professionals has done work for high rise office buildings, shopping malls, state correctional facilities, churches, schools, housing projects, etc. We have a complete service and installation department that services and installs all our products with our own full time employees.

Dealers Wholesale unveiled exciting news in January 2008 when the company purchased the Metro Indianapolis division of Fireside Hearth & Home. Fireside Hearth & Home is part of Hearth & Home Technologies, a division of HNI Corporation, is considered to be the leader in the hearth industry.

In 2016, Dealers Wholesale was acquired by a Private Equity Firm called The Firefly Group. Under their leadership, Dealers Wholesale has implemented the Entrepreneurial Operating System (EOS) and made very strategic changes to our Core Values, Mission, and short/long-term growth goals.
