Our team is looking for a Receptionist/Payroll Specialist/General Administration Specialist. This position is full-time and in-person (not remote). Below are the requirements of the position:

Receptionist/Payroll Specialist/General Administration

  • Answering Phones

  • Keeping and Maintaining office inventory

  • Data entry into various systems and report compilation

  • Set travel arrangements for staff

  • File office documents both digitally and paper copies

  • Lend assistance in the event of an employee absence

  • Provide support for staff as requested by team members

  • Maintain the cleanliness of entire office space as per operations manual

  • Coordinate weekly team meetings and upcoming team events

  • Marketing Coordination to include social postings, event coordination and main liaison with Marketing Department

  • Distribution of incoming mail through various services

  • Accurately prepare all payrolls to include proper deductions and fringe benefits.

  • Maintain employee time-off records and provide employee time-off information for administrative use.

  • Maintain records of dues and fringes paid on behalf of our union employees and submit payment reports to proper unions.

  • Assist in filling out all applications for Union sign ups

  • Set up new hires in HR software and accounting software.

  • Report payrolls through various forms of Certified Payroll portals

  • Process Contracts and Change Orders as they are received

  • Track, document, and audit payroll driven insurance monthly/ quarterly and report payrolls to insurance broker

  • Assist in data compilations need for submission for all company audits

Qualifications:

  • Previous experience in accounting in a commercial construction environment
  • Experience with current computer accounting programs and reporting tools
  • Detail and deadline-oriented
  • Strong analytical and problem-solving skills
  • Minimum 5 Years Construction Payroll Experience
