Must Have working knowledge of working with COI's, crewing, and scheduling experience.
The ideal candidate maintains regular contact with all crews, available staff, employment agencies, and internal departments and acts as the direct contact for crews and staff in the event of unexpected staff changes and contributing to adequate solutions.
Work Schedule-Monday-Friday-7:30 AM-3:30 PM. Must be available to work OT and weekends when necessary.
Duties and Responsibilities:
Main duties include recruitment, selection, and hiring of over hire personnel in coordination with respective Department Heads.
Managing crew schedules and rotations. Facilitate training and ensure compliance with regulations and documentations requirements.
Work closely with the HR/Payroll department to ensure onsite hours are submitted in a timely manner.
Maintain and update the crew database.
Follow up and confirm insurance requirements are met for all venues.
Ensure all onsite and in house subcontracted labor is properly insured and all agreements and addendums are in place.
Maintain well organized files in relation to COI Certificates for Annual Workers Compensation Audit.
Other general clerical tasks such as such but not limited to; Welcoming visitors to the front office, answering phone calls, managing calendars, sorting mail, scanning, printing, filling, assist in preparation of mass mailings (for pension plan, medical, etc.), update staff directory, maintain project log, keep inventory of office supplies and ordering new materials as needed.
Skills and Experience:
- Affinity for complex and fast paced scheduling with multiple simultaneous projects occurring at any given time.
- General Business Insurance Knowledge and understanding.
- Self-starter who is willing to help in areas where gaps may exist.
- Good social and communicative skills- a team player.
- Good organizational skills and solution-oriented person.
- Able to maintain records and filing system.
- Good command of English Language- Multilingual is a plus.
