Searching for a highly organized, technically savvy Administrative Assistant to provide support to both the President and the CEO of Boxer Property Management. 

 

This position is responsible for implementing systems, procedures, policies, and assisting in the management of daily activities for the top 2 executives within the company. Handling confidential information, maintaining calendars, scheduling travel, event planning, and managing emails to identify action items are central to the role. This position requires a high degree of confidentiality, organization and time-management skills, and exceptional written and verbal expertise.  This position reports directly to the Chief of Staff.

 

The ideal candidate will have 3 to 5 years of relevant administrative experience, working with senior leaders in a fast paced environment.

 

Roles and Responsibilities

  • Review emails and postal mail and respond, escalate, file, or delete.
  • Manage incoming requests and calls.
  • Manage executive task lists.
  • Manage schedule and coordinate meetings.
  • Bookkeeping, coding, credit card management.
  • Travel booking and management.
  • Account management for various services, credit cards, and other programs.
  • Executives’ families and school-related administrative tasks.
  • Performs personal errands for executives and their families.
  • Oversees executives’ residential maintenance, e.g., landscaping, utilities, repairs, improvement projects, and related vendors.  Also assists with vehicle maintenance.

 

Experience, Knowledge and Education:

  • Associate’s degree acceptable; Bachelor’s degree preferred
  • High school diploma or GED required; Associates degree or higher preferred

 

Skills & Experience

  • 3-5 years of administrative experience reporting to senior executive
  • Strong technology acumen to include intermediate to advanced working knowledge of Microsoft Office Suite
  • Ability to work flexible hours and overtime as needed
  • Proven track record of managing and completing multiple projects with differing priorities
  • Strong personal impact/professionalism

  • Successfully pass pre-employment screening
  • Valid driver’s license for errands requiring use of personal automobile
