  • Distributes client returns and financial statements.
  • Prepares reviews, edits and maintains financial statements templates.
  • Assist with maintenance of client's bookkeeping.
  • Coordinates document management.
  • Communicates and resolves client inquiries.
  • Draft correspondences and other formal documents.
  • Generates and maintains client due date tracking reports.
  • Plan and schedule appointments and events.
  • Communicates with clients and accountants regarding work schedules.
  • Handles incoming calls and greets and assist onsite guests.
  • Process client billing.
  • Posts cash receipts.
  • Executes accounts payable and accounts receivable for the firm.
  • Orders office supplies and communicates with outside vendors.
  • Maintain the condition of the office and ensure all common areas are stocked, clean and organized.

Qualifications

  • Associate degree preferred or commensurate experience relevant to position responsibilities.
  • Experience in a financial services firm is highly preferred.
  • Strong proficiency in Outlook, Excel and Word.
  • Experience with QuickBooks accounting software a plus.
  • Excellent interpretation and problem-solving skills.
  • Ability to prioritize and multitask.
  • Excellent verbal and written communication skills.
  • Strong attention to detail with the ability to maintain focus.
  • Highly organized and motivated to efficiently facilitate workflow in a small team environment.
  • Excellent spelling skills.
  • Self-starter.
