Position Overview:
We are seeking a dynamic and highly organized Administrative and Marketing Assistant to provide comprehensive support to the President of our company. This part-time role is designed for a self-motivated individual who thrives in a fast-paced environment and is looking to grow their career. The position offers the potential to transition into a full-time role based on performance and business needs.
Core Responsibilities:
- Digital Content Management: Post blogs, prepare social media posts for publication across platforms including Instagram and Facebook, and engage with our online community to enhance brand visibility.
-Email and Communication Oversight: Manage the President's email by responding to, filing, and deleting emails as appropriate. Ensure pending communications are addressed promptly.
- Task and Project Coordination: Utilize Asana for task management, customize projects for new work, schedule client site visits, and manage the President's calendar to optimize time management.
- Document and Contract Administration: Assist in preparing and sending contracts for signatures, scan and file important notes, and maintain organized digital and physical records.
- Event and Merchandise Management: Organize staff wellness events, manage company merchandise, and handle uniform ordering to foster a positive company culture.
- Legal and Administrative Support: Act as a liaison with the company attorney, track billable hours, assist with small claims court paperwork, and other legal documentation as needed.
- Recruitment Assistance: Post job openings, screen resumes, and schedule interviews to support the company's growth and talent acquisition efforts.
- Communication Platforms Management: Streamline communication by working within Slack, linking Salesforce to Slack and Asana, and ensuring seamless information flow across platforms.
Desired Skills and Qualifications:
- Exceptional proficiency in Outlook, with strong organizational and time management skills.
- Creativity and ability to contribute to marketing projects, including content creation and image selection.
- High level of professionalism and discretion, with a commitment to maintaining confidentiality.
- Outstanding reliability and accessibility, with a flexible approach to handle varying tasks.
- Familiarity with QuickBooks and Salesforce is a plus.
- Excellent written and verbal communication skills.
