Job Summary: The Administrative Receptionist & Safety Assistant will manage records, prepare reports, and update safety information. This role also includes various receptionist duties.

Key Responsibilities

Safety Responsibilities

·        Support onboarding processes and assist with the company’s Safety Program.

·        Enter new employee data.

·        Scan and record employee training information.

·        Follow up on drug screens.

·        Send DOT exam results to NC and SC DMVs.

·        Issue Personal Protective Equipment (PPE).

·        Request driving records.

·        Update Safety Data Sheets (SDS).

·        Enter data for OSHA logs.

·        Report claims to insurance companies.

·        Add new employees to the SPW database.

·        Assist with new employee orientation.

·        Navigate JJ Keller Safety Suite.

·        Track OSHA 10 & 30, ACPA Certifications, DOT Med Cards, training records, expiration dates, safety audit reports, and corrective actions.

 

Administrative/Receptionist Responsibilities

·        Greet visitors.

·        Answer phone calls and direct them to the appropriate person.

·        Enter invoices into Vista Viewpoint (Accounts Payable).

·        Set up new jobs.

·        Create new work orders.

·        Open and distribute mail.

·        Process remote deposits using the online banking portal.

·        Handle outgoing mail.

·        Order office and cleaning supplies.

 

Skills

·        Ability to work cooperatively and collaboratively as part of a team.

·        Strong work ethic and independent problem-solving skills.

·        Effective written and verbal communication skills.

·        Proficiency in Microsoft Excel and Microsoft Office.

·        Ability to be productive with assigned tasks.

·        Construction industry experience preferred but not required.

·        Detail-oriented.

·        Ideal candidate will have proficiency in English and Spanish
