The Administrative Assistant will play a crucial role in supporting our Director of Operations by managing documents, scheduling business meetings, and handling construction correspondence. This position requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.


Key Responsibilities:

  • Meeting Coordination: Schedule and organize business meetings, including preparing agendas, booking meeting rooms, and arranging for necessary equipment or other items.
  • Communication: Serve as a point of contact for internal and external stakeholders, providing information and assistance as needed.
  • Administrative Support: Assist with general office duties, including answering phones, managing emails, preparing reports, and maintaining office supplies.
  • Project Support: Provide administrative support to the Director of Operations and other team members as required, including preparing project documentation, and assisting with project coordination.
  • Compliance: Ensure all administrative processes comply with company policies and industry regulations.
  • Other duties as assigned.
Requirements:

Education: High school diploma or equivalent; additional qualifications in office administration or a related field are a plus.

Experience: Minimum of 2 years of experience in an administrative role, preferably within the construction industry.

Skills:

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Familiarity with construction management software and document control systems.

Excellent organizational and time management skills.

Strong attention to detail and accuracy.

Effective communication and interpersonal skills.

Ability to handle multiple tasks and prioritize effectively.

Preferred Qualifications:

Experience with construction-specific software (e.g., Procore, Bluebeam).

Knowledge of construction terminology and processes.

Experience in coordinating with subcontractors and suppliers.
