Position Overview:

XcelHR is seeking an Executive Assistant to provide high-level administrative support to the Managing Director. In this role, you will play a crucial part in ensuring the smooth operation of our organization, acting as the right hand to the Managing Director. The successful candidate will be detail-oriented, proactive, and able to manage multiple tasks and priorities in a fast-paced environment.

Key Responsibilities:

  • Manage and maintain the Managing Director’s calendar, scheduling meetings, appointments, and travel arrangements.
  • Prepare meeting agendas, materials, and minutes as necessary, ensuring the Managing Director is well-prepared for all engagements.
  • Act as a liaison between the Managing Director and other departments in the company, ensuring clear and effective communication.
  • Prepare reports, presentations, and other materials for the Managing Director.
  • Manage correspondence, including emails, letters, and phone calls, and respond appropriately.
  • Coordinate with other executives and departments on projects, as needed.
  • Manage special projects and initiatives as directed by the Managing Director, ensuring deadlines are met and objectives are achieved.
  • Provide administrative and organizational support to other executives, as needed.

Qualifications:

  • College degree desired or equivalent combination of education and/or related work experience.
  • 5+ years of experience in a professional administrative role supporting executive level leaders.
  • Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Strong verbal and written communication skills, with a professional and polished demeanor.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Proven ability to exercise sound judgment and make independent decisions when necessary.
  • A proactive and adaptable approach, with a keen eye for detail and a commitment to excellence.
  • A team player, able to build strong working relationships with colleagues and external partners.
