Client Services Specialist

This is a high quality administrative and service role to support a variety of business essential tasks across
several departments ensuring both internal operations and customer needs are being met.


DEPARTMENTAL FOCUS: New Business/Sales Support.


Principal Job Duties:

 

  • Customer Service and Response. Addressing customer needs, whether in person or by phone.
  •  Help to complete special projects and assignments by establishing and/or meeting objectives as required by upper management and team leads.
  • Maintain good organization and prompt fulfillment of all business records. Work within ourCRM- Redtail, to keep client records up to date and within our Cloud storage system- Microsoft 365 to scan files. Responsible for most Filing, Scanning, Labeling, Grouping, and other administrative support functions for all departments; including sales, operations, and bookkeeping.
  • Back-office support for corporate functions such as updating records in our CRM, and any other tasks as required by the Events Manager.
  • Annuity and IUL Policy Delivery Binders- preparing materials, creating money tracker reports, and quality control. Financial Accuracy, Attention to Detail, and Efficiency are essential to this role.
  • Provide back-up assistance with entering new Annuity and IUL applications into the Firelight application system, as needed. This work will be delegated to you on demand and will be extremely time sensitive. Accuracy, Attention to Detail, and Efficiency are essential to this role.
  • Managing year-round maintenance for all Annuity Clients by scheduling activities to send out our 9mo and 15mo reminder letters, annual review postcards, and birthday cards. Will utilize workflows in our CRM to schedule these actions AND will fulfill the actions timely with accuracy.
  • Preparing appointment folders and ensuring that upper management has everything she/he will need for next day client meetings; to be handled every single day before you leave. This is an essential role to ensure success during the sales process and will require reliable, accurate fulfillment.

Cross Trained - Team Support Duties:

  • Annuity & IUL Annual Review prep-work. This includes downloading and prepping annual statements, updating money tracker reports, and preparing documents for signature. Financial Accuracy, Attention to Detail, and Efficiency are essential to this role.
  • Expand personal job knowledge by participating in educational opportunities; reading industry specific news; following financial markets; maintaining personal networks; and participating in professional organizations.
  • Enhance the firm’s reputation through professionalism and courtesy to both partners and clients online, by phone, in person, and with all written correspondence. This may include assisting with email blasts, telephone outreach campaigns and more as required.
  • Assist with drafting and review of business correspondence.
