THIS IS A FULLY REMOTE POSITION.

We are looking for someone who is a rockstar with team management, client relationship management, and data entry.

Here's what our perfect Sales Office Administrator looks like:

  • Ability to empathize, understand, and meet the needs of our clients. Has prior experience in customer service roles.
  • Has great organization and time management skills. Someone who can stay organized and manage their time efficiently.
  • Our person has great problem-solving skills: Clients may have diverse needs and concerns. We're looking for someone who can think on their feet and find solutions.
  • They are tech-savvy and comfortable using phone systems and basic office software.
  • This person can take a project and manage it, including finding online resources to complete the project if it falls outside of their skillset.
  • Adaptability to new technologies is a bonus.

**Qualifications:**

  • Proven experience as a Sales Team Coordinator or in a similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Detail-oriented with a high level of accuracy.
  • Discretion and confidentiality in handling sensitive information.

**Key Responsibilities:**

  • Answering and managing phone calls with a friendly and professional demeanor.
  • Effectively communicating with clients to understand their needs and address inquiries.
  • Maintaining a positive and client-centric approach in all interactions.
  • Handle phone calls, emails, and other forms of communication professionally.
  • Draft and proofread correspondence, reports, and documents as needed.
  • Connect clients with the sales team and partnering agents.
  • Update and maintain accurate records, databases, and filing systems.
  • Assist in the preparation of reports, meetings, and presentations.
  • Schedule and organize meetings, preparing necessary materials.
  • Record and distribute meeting minutes.
  • Assist in prioritizing tasks and managing deadlines.
  • Handle ad-hoc administrative duties as assigned.
