Office Manager

The Chabad Jewish Community Campus in Pacific Palisades is seeking a full time Office Manager for a large, bustling campus that is home to a variety of social service and educational programs for infants and children, teens, adults, families with special needs, seniors and more. Part of the worldwide Chabad movement, we strive to create a warm and inviting place where people from all walks of life—regardless of background, affiliation or observance—feel welcome and at home. The Office Manager makes it possible for our staff to effectively fulfill their missions by maintaining the daily operations, creating a well-functioning office, and providing support to all programs.
Responsibilities:
1) Welcome visitors by greeting them, in person at the reception desk and on the telephone; direct visitors/callers appropriately.
2) Maintain campus calendar and be aware of all programs taking place.
3) Receive, sort and distribute mail and deliveries to the appropriate departments.
4) Support use and maintenance of all office equipment (i.e. copier, printer, phones, computers).
5) Organize office inventory and order office supplies as needed.
6) Update and maintain Contact Management System.
7) Create and send out weekly email newsletters; update program websites/social media and send emails as needed.
8) Coordinate with Facilities Manager and Security Staff on all facility-related needs.
9) Assist program directors by preparing materials (e.g. handouts, booklets, fliers, etc), making calls, sending emails as requested; assist with events by managing registration, payments, etc.
10) Assist with bookkeeping by entering bills/transactions/statements into database, making deposits, paying bills, printing checks, downloading reports and sending thank you letters.
11) Coordinate staff appreciation activities.
12) Run errands as requested to bank, post office, UPS, etc.
Requirements:
a) Passion for providing outstanding service to both visitors and colleagues.
b) Excellent verbal and written communication skills.
c) Highly organized and self-motivated.
d) Ability to multitask and prioritize multiple tasks, with a positive and professional attitude, in a fast-paced environment to ensure seamless office operations.
e) Highly proficient in MS Office (Word, PowerPoint, Excel) and Google Docs; and able to learn and adapt to new programs.
f) General knowledge of office equipment (i.e. copier, printer, phones, computers).
g) Flexible schedule which would allow supporting events as needed.
h) Office management experience a plus.
