Legal Administrative Assistant

Maiello, Brungo & Maiello, LLP is seeking a qualified applicant to fill the position of Legal Administrative Assistant. The position requires a self-motivated individual to provide support and overall daily management to the Firm's partners and to assist with the Firm's real estate and estate administration (probate) matters.
Essential Duties and Responsibilities:
- Screen partners’ telephone calls, emails and correspondence; address matters not requiring partners’ attention; refer calls to other attorneys/staff for action; organize meetings and conference calls
- Will act as liaison between partners and attorneys/staff
- Handle estate administration files and duties
- Track correspondence requiring responses and keep partners advised of status and deadlines
- Respond to clients and provide information to clients as needed as directed by partners
- Review and proof correspondence and documents
- Assist partners with composing and transmitting correspondence; redlining and transmitting documents
- File organization and maintenance
- Assist partners with transactional closings, meetings, conferences, etc.
- Coordinate and maintain calendars and task lists for partners
- Implement and improve administrative processes for more effective workflow
- Develop file/case management and assignments systems for establishing and tracking deadlines, maintaining communications with staff; send out periodic status reports to clients
- Assist partners with timekeeping and prebills
- Provide support and research
Education and Key Job Competencies
- Two-year degree or equivalent certification
- Two-years plus working experience as a legal assistant in a law firm or for in-house counsel
- Experience in transactional and commercial real estate matters preferred
- Strong planning and organizational skills; Deadline driven; Comfortable in leadership role
- Ability to adapt to changing priorities and means
- Ability to work well and effectively both as part of a team and independently
- Must have excellent O365 skills and experience with all O365 products including Teams, Planner and To-Do
