JOB TITLE   Administrative Assistant and Tenant Events Coordinator - full time                                                                               

LOCATION  Sandy Springs, GA – In office work is required.

JOB SUMMARY   Are you an organized and detail-oriented professional with a passion for event planning? We're looking for an Administrative Assistant with a knack for coordinating and planning events to join our dynamic team for our newly renovated office building and other properties. As an Administrative Assistant and Event Coordinator, in addition to Administrative assistant duties, you'll leverage your creativity and organizational skills to plan and execute tenant parties, corporate events, and engagements with outside vendors. You'll work closely with our management staff, tenants, and vendors to create unforgettable experiences that make our building the go-to destination for corporate events in the area. If you have a proven track record of event planning, excellent communication skills, and a knack for delivering exceptional customer service, we want you on our close-knit team.

 

ESSENTIAL DUTIES

  • Greet visitors and determine whether they should see specific individuals.
  • Answer phone calls and direct calls to appropriate persons or take messages.
  • Schedule meetings, reserve/setup rooms, prepare agendas, order/serve refreshments as required.
  • Maintain inventory of office and other supplies, prepare lists, place orders, and distribute once arrived.
  • Retrieve, distribute, and send all incoming/outgoing mail and packages.
  • Prepare invoices, reports, memos, letters, and other documents.
  • Respond to tenant emails and voicemails in a timely manner including any requests, complaints, work orders, comments, etc.
  • Prepare and create tenant announcements, newsletters, security matters, memos, and other management-related information.
  • Maintain, update, and distribute tenant and staff directories and changes, including emergency information.
  • Obtain and keep up-to-date certificate of insurance (COI) documents on file for all tenants and vendors.
  • Assist management and security to provide building access for tenants, vendors, and contractors.
  • Conduct quarterly audits of access controls.
  • Assist security with lost & found recovery process, overnight parking notifications, coordinate tenant fob deliveries, and circulate security alerts.
  • Provide administrative support to the President, Leasing, and Property Management teams.
  • Perform other duties as required.

 

TENANT SERVICES DUTIES

·        Fulfill requests for activation and termination of access cards and fitness memberships.

·        Order/maintain all building signage - order door signs/directory strips for new move-ins, etc.

·        Provide information to tenants on how to order mailbox keys, order suite directory signs, confirm the number of keys needed, and order the keys.

·        Assist with preparing new tenant set-up, updating tenant contact lists.

·        Schedule pest control, additional trash, and cleaning services.

·        Coordinate conference room scheduling.

·        Coordinate with security for loading dock access as needed for deliveries, move-in/move-out, special events, holidays, etc.

·        Assist Security with Lost & Found recovery process.

·        Coordinate overnight parking requests.

·        Prepare, maintain, and distribute tenant welcome packages, including handbooks and life safety manuals.

·        Plan and coordinate tenant life safety training, evacuation drills, and other similar meetings and programs for tenants.

 

EVENT DUTIES

·        Plan and execute events that cater to a diverse group of tenants.

·        Develop and maintain relationships with external vendors to offer services and promotions to tenants.

·        Create marketing campaigns and communication strategies to promote upcoming events to tenants.

·        Coordinate and assist with event logistics including setup, catering, audio/visual equipment, security, and cleanup.

·        Plan and coordinate tenant special events, holiday events, parties, welcome lunches, blood drives, food drives, etc.

·        Coordinate tenant participation in recycling and other community programs.

EVENT DUTIES

·        Assist in social media postings.

·        Continually update suite availabilities, stacking plans, property images, signage, etc. on the company website and all broker listing publications.

·        Assist the leasing team in distributing marketing materials to brokers through email blasts.

·        Update and maintain broker contact lists and company contact database.

·        Coordinate and assist with leasing tours.

EDUCATION AND EXPERIENCE REQUIREMENTS

·        3+ year’s commercial real estate and event coordination experience is preferred

·        High school diploma is required

  • Real estate experience is preferred

WORKING CONDITIONS

·        Work performed in a general office environment. 

 

SCREENING REQUIREMENTS

  • Required to pass a criminal history background check
  • Valid driver’s license
