Stern & Eisenberg is a full-service law firm seeking a reliable part-time or full-time professional Administrative Specialist. The Administrative Specialist will report to the Stern & Eisenberg Value department and manage administrative responsibilities, including providing support to the legal team as follows:

Duties & Responsibilities:

  • Deliver high-quality, personalized service to clients and third parties who call our firm’s multi-state footprint.
  • Ensure timely delivery of written, verbal, and electronic communication between clients and colleagues.
  • Greet clients and make them feel comfortable, both in person and over the phone.
  • Sort and collate incoming legal pleadings and correspondence for delivery to the proper department.
  • Assist with timely mailing of pleadings and correspondence via Fedex, UPS, USPS or other carrier services.
  • Prepare and deliver task and productivity reports to internal staff and alert management regarding trends or concerns.
  • Update firm case management system and client case management platforms with details surrounding communication with third parties.
  • Update client relationship management platform to ensure client receipt of firm notifications.
  • Assume responsibility for maintaining the highest level of confidentiality of all firm records, in addition to alerting management of potential security issues.
  • Oversee other administrative tasks as necessary to ensure client satisfaction.

Qualifications

  • High School graduate or equivalent. Bi -Lingual is a plus.
  • Minimum of 1-2 years in a busy office environment providing customer service or clerical assistance.
  • Prior law firm and/or Foreclosure/Bankruptcy experience a plus.
  • Ability to multi-task, prioritize, and manage time effectively.
  • Excellent written and verbal communication skills.
  • Possess strong computer skills: Microsoft Office Suite, as well as general understanding of software systems to access and utilize firm’s case management and client systems.
  • A team player who is focused on providing exemplary customer service.
  • Dependable, punctual and reliable.

Physical Demands

The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is usually required to sit, reach with hands occasionally required to stand, walk, lift, talk and hear and frequently required to sit, reach with hands and touch. Specific vision abilities required by this job include close vision and ability to adjust focus.

While performing the duties of the job, the employee is usually in an indoor office environment. The noise level in the work environment is usually moderate.
