Job Title – Medical Receptionist, Front Office

Job Summary

We are seeking a highly organized and compassionate Medical Receptionist to join our small OB/GYN office. The ideal candidate will play a pivotal role in providing essential administrative and clerical support, ensuring the smooth functioning of our practice, and delivering exceptional patient care experiences. As a Medical Office Assistant, you will work closely with our medical team, patients, and other staff members to maintain the highest standards of healthcare services.

General Responsibilities

Patient Reception and Communication:

· Open office, ensure that the waiting room area is ready for the day

· Greet and welcome patients, facilitate patient check-in and check-out

· Manage incoming phone calls, schedule appointments, and address patient inquiries.

Medical Records Management:

· Create and update patient records, ensuring accurate and confidential information.

· Organize and file medical charts, test results, and other documentation systematically.

· Facilitate medical record requests and transfer of patient information as necessary.

Appointment Coordination:

· Coordinate patient appointment scheduling, optimizing the physician's daily schedule.

· Respond to appointment requests generated from website inquiries.

· Follow up on missed appointments and reschedule as needed.

Insurance Verification and Billing Support:

· Verify patient insurance coverage & eligibility to process insurance claims efficiently.

· Assist patients with understanding their insurance benefits and billing queries.

· Collaborate with the billing department to ensure accurate and timely claims submission.

Administrative Duties:

· Manage office supplies inventory and place orders when necessary.

· Perform general clerical tasks, such as data entry, filing, and document preparation.

· Assist in maintaining a tidy and organized office environment.

Adherence to Policies and Regulations:

· Ensure compliance with HIPAA regulations and maintain patient confidentiality.

· Follow office protocols and guidelines to promote patient safety and quality care.

· Participate in staff meetings and training sessions as required.

 

 

 

Job Qualifications

Skills

· High school diploma or equivalent; additional education or certification in the medical field is a plus.

· Minimum of 2 years previous experience in a medical office, preferably in an OB/GYN setting, 

· Proficiency in using electronic medical records (EMR) systems and standard office software.

· Excellent interpersonal and communication skills to engage effectively with patients and colleagues.

· Strong organizational abilities and attention to detail to manage administrative tasks efficiently.

· Ability to multitask and work in a fast-paced environment while maintaining a friendly and professional demeanor.

· Demonstrated empathy and sensitivity when dealing with patients from diverse backgrounds.

· Knowledge of medical terminology and insurance procedures is advantageous.

 

Preferences

· 1+ years experience in OB/GYN private practice

· Bilingual / Spanish
