Job Summary: The Office Manager will be responsible for overseeing the day-to-day administrative operations of the office. This role involves coordinating office activities and operations to ensure efficiency and compliance with company policies. The Office Manager will manage administrative staff, support HR functions, handle budgeting, and ensure a well-maintained office environment.

Key Responsibilities:

  1. Administrative Management:

    • Oversee daily office operations to ensure efficiency and productivity.
    • Develop and implement office policies and procedures.
    • Manage schedules, appointments, and meetings for executives and staff.
    • Handle office correspondence, including emails, phone calls, and mail.
  2. Staff Supervision:

    • Supervise and support administrative staff, including receptionists, clerks, and assistants.
    • Conduct performance evaluations, provide feedback, and facilitate professional development.
    • Assist in the recruitment and onboarding of new employees.
  3. Financial Management:

    • Prepare and manage office budgets, track expenses, and ensure cost-efficiency.
    • Handle billing, invoicing, and payroll processes.
    • Work with the finance department to ensure accurate financial reporting.
  4. Office Maintenance:

    • Ensure the office is clean, organized, and well-maintained.
    • Coordinate with vendors and service providers for office supplies, repairs, and maintenance.
    • Oversee the management of office equipment and technology, including troubleshooting and repairs.
  5. Human Resources Support:

    • Assist with HR functions such as maintaining employee records, managing benefits, and handling employee relations.
    • Support the development and implementation of HR policies and procedures.
    • Ensure compliance with labor laws and regulations.
  6. Project Coordination:

    • Assist in planning and executing office events, meetings, and conferences.
    • Support various projects and initiatives to improve office operations and employee satisfaction.

Qualifications:

  • Education: AS Degree or Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • Experience: Minimum of 3-5 years of experience in office management or a similar administrative role.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent communication and interpersonal skills.
    • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
    • Knowledge of HR and payroll processes.
    • Budgeting and financial management skills.
    • Problem-solving and decision-making skills.

Work Environment:

  • This role operates in a professional office environment.
  • May occasionally require lifting office products and supplies, up to 20 pounds.
