The current duties and responsibilities of an Accounting Assistant are listed below.

The Office Assistant I will assist with various administrative duties such as checking voicemails
and checking emails for customer or staff questions and information. Other duties may include
assisting customers on the phone, answering account questions, facilitating changes in customer
information and taking credit card payments
The Office Assistant I will assist in the processing of various ticket functions. The duties
include checking emails for customer service tickets that need to be invoiced, invoicing customer
service tickets, processing open mass 90 service tickets, entering service ticket Information,
creating and sending invoices.

The Office Assistant I will assist with various invoicing duties including checking invoices for
accurate and complete information, tracking customer contract hours used on invoices, and sorting
the invoice cabinet at the end of the month.

The Office Assistant I will assist in year’s end filing duties including moving front office files,
boxing up the previous year’s files for transferring and storing to back room, and pulling files to
be shredded.

The Office Assistant I is responsible for calculating contract compensation. The responsibilities
include running technician payroll reports, computing mileage rate for out of town jobs, tracking
any past payroll hours due and computing payroll total for designated contract employees.

The Office Assistant I will assist with employee time processing, transferring daily timesheet
information and adding hours for payroll every two weeks.

The Office Assistant I is responsible for processing mail which includes putting invoices in
envelopes, stamping the envelopes, putting mail in the mailbox, retrieving mail from the mailbox,
separating items by department, dispersing mail and opening accounts payable checks.
The Office Assistant I will assist with various filing duties including creating files for new
customers and vendors as needed, filing Computer Geeks and Intrasource invoices, filing receipts,
filing check stubs, filing invoices from paid bills, transferring store and office batch files to
back room filing.
The Office Assistant I will assist with bill payment. These duties include but are not limited to
entering bills to be paid, verifying that bills are not duplicates, checking to see if Warehouse
bills have been entered and placing bills to be paid in appropriate folders by due date.
The Office Assistant I will assist in the management of company supplies including organization and
replenishment. In addition, The Office Assistant I may be called upon to help with various
housekeeping duties including gathering trash from front offices, vacuuming the front offices,
cleaning bathrooms as needed, cleaning the kitchen area as needed and occasional dusting.
The Office Assistant 1 will process the previous day’s front register batch information. Other
duties may be assigned as necessary and appropriate.

Education
The individual will preferably have earned an Associates degree in accounting for finance from a
two- year college or university. One to two years related experience, training and/or equivalent
combination of education and experience will be considered.
Language Skills
The individual should have the ability to read and interpret documents such as telecommunications
solutions and invoices, terms and conditions, accounting reports and contractual agreements. The
individual should also have the ability to write routine reports and correspondence and the ability
to speak effectively before groups of customers or employees of the organization.
Mathematical Skills
The individual should have the ability to calculate figures and amounts such as discounts,
interest, commissions and proportions. The individual should also be able to apply concepts of
basic algebra.

Reasoning Ability
The individual will be able to define problems, collect data, establish facts, and draw valid
conclusions. The individual should also have the ability to give full attention to what other
people are saying, to use logic and reasoning to identify the strengths and weaknesses of
alternative solutions, and to manage one’s own time.
Computer Skills
To perform this job successfully, an individual should have knowledge of Microsoft Office programs
(Word, Excel, PowerPoint, and Outlook). Knowledge of accounting software, preferably Mas90/Sage,
database software and project management software is helpful but not required.

Other Skills
Some assigned responsibilities may require this individual to possess and maintain a valid driver’s
license and clean driving record.
