Clerical Assistant for manufacturing company located in the Lake Forest CA area.

This is a Temporary to Hire opportunity with pay up to $18.00/hr depending on experience. Hours typically 8:30 am-5:00 pm, with 1/2 hour unpaid lunch, Monday-Friday.  Company provides benefits once hired.

Ideal Candidate will be a motivated individual who is a stickler for details, accuracy, efficiency and who will thrive in a fast paced work environment.

Essential Duties:

Take care of customers; processing domestic and international orders

Liaison between the sales department, warehouse, and operations team

Your responsibilities will include:

  • Reception duties (answer phones, direct calls, meet/greet and announce visitors)
  • Customer Order Entry (data entry of customer purchase orders into the system)
  • Customer Service (sending order confirmations, corresponding with customers, maintaining customer relationships, etc.)
  • Maintain and prepare the necessary documents for outgoing orders
  • Manage back-orders and communicates status updates with related departments / customers
  • Accurately records all completion data into the appropriate database  and/or appropriately completes all necessary paperwork. May also Coordinate daily deliveries and shipments
  • Obtain both Ground and LTL rate quotes to arrange freight for outgoing orders
  • Provide assistance and support to Managers in various tasks and projects
  • Support sales team to ensure all orders are processed and shipped on time
  • Familiarity with AP/AR also helpful but not required

Requirements:

  • Min 1 year of experience in a fast paced customer service role or order management role in a high volume environment is desired
  • High School or GED is required
  • Microsoft Office skills (Excel, Word, Outlook) are required
  • QuickBooks is a plus
  • Excellent data entry skills to quickly and accurately review and input data
  • Effective communication (both verbal and written) and organizational skills
  • Superior phone etiquette and ability to deal effectively with internal or external customers, peers and management
  • Shows initiative and is able to work independently
  • Reliability
  • Strong problem solving skills and ability to multitask
