Requirements

  • At least 2 years of experience in customer service, receptionist, or other administrative role
  • Proficiency in QuickBooks, Google Docs, spreadsheets and Outlook
  • Experience with ADP a plus
  • Strong customer service experience
  • Ability to prioritize and multitask
  • Positive and professional demeanor and appearance
  • Excellent written and verbal communication skills
  • Bilingual - Fluent in Spanish required
  • Professional and courteous phone etiquette
  • Organized, punctual, detail oriented, and ability to meet designated deadlines is critical
  • Able to work independently, a self-starter and in a fast-paced environment 
  • Construction background a plus
  • Must have reliable transportation to work 

Responsibilities

  • Provide day to day administrative support to Director of Operations and Accountant
  • Prepare correspondence and documents.
  • Operates office equipment such as personal computer, calculator, copier, etc. 
  • Phone calls to sub-contractors and vendors
  • Confirm appointments, interviews as scheduled. 
  • Create and maintain project files
  • Track ongoing projects
  • Order materials for jobs
  • Maintain and update calendar
  • Maintain a clean office environment
  • Other duties occasionally assigned
