Our client, an international law firm is seeking an Office Services/Mailroom Assistant to join their team.

This is a temp-to-hire position.

The work schedule is Monday – Friday, 10am – 6pm.

The pay rate is $20.00 per hour.

Job Responsibilities and Requirements:

● Must be able to meet deadlines;

● Must be able to multitask without leaving any assignments undone

● Must be able to articulate and communicate efficiently with colleagues

● Must be committed, trustworthy, punctual, self-reliant, responsible, and organized

● Must abide by all office policies, including dress code

● Must be organized. Here is a list of integrated responsibilities: Mail, Messenger, and Xerox Services

● Physically able to run errands, ensure the delivery of packages and confidential legal documents

● Able to distribute incoming mail to all, ensuring that even our remote users receive their mail

● Knowledgeable of or willing to learn how to use fax machines, Xerox copy machines, scanners, Velo-binders, and postal machines; Document and Administrative Support Services:

● Quality Checking is a must. Candidate must ensure the quality of all factors involved in producing or reproducing documents

● Be able to categorize, file, and retrieve documents

● Understand how data is captured and processed

● Be able to convert documents (to pdfs, tiffs, jpegs, etc.); Concierge and Reception Assistance

● Must be courteous, professional, and presentable at all times to match the expectations of clients and colleagues

● Must be communicative as the candidate will be asked to cover the reception desk

● Must be able to assist with hosting special events Facilities Support Services

● Hospitality and Pantry services

● Supplies Management includes ordering supplies and making sure all items are in stock

● Able to maintain office infrastructure (Xerox copy machines, conference room, and equipment, Kitchen, Bathrooms, Pantry, Lighting, etc.)

● Experience in ordering supplies and keeping items stocked

● Assist in maintaining all conference rooms and keeping common areas presentable

● Light AV assistance is needed; must be able to set up conference calls, etc. Records Management Assistance:

● Physically able to lift file boxes

● Update various databases

● assist in maintaining our file storage system in-office

● Sending to and retrieving from offsite storage

Education Requirements:

● Must have a High School Diploma; Associates Degree a plus
