Mailroom/Office Services Associate

Dynamic global philanthropy has an open position for a Mailroom Associate role to support the workplace operations team across 3 office locations in New York City.


The position requires a hands-on approach assisting in the daily operations for

over 250 employees within different offices.


** Hours for this role will be 7:00AM-4:00PM, 8:00AM-5:00PM or 10:00AM-7PM depending on the office location. Hours also require flexibility based on projects, events, and team schedule.


Responsibilities Include:

  • Receive, sort and distribute the mail at all locations within 1 hour of arrival
  • Act as a messenger to deliver important or time sensitive packages
  • Track parcels from various vendors and messenger services, to ensure on-time delivery
  • Order and restock supplies throughout our 3 locations including copy paper, supply kiosks and conference rooms
  • Manage vendor relationships, accounts, passwords and invoices
  • Work seamlessly with various groups, individuals and teams and handle requests and one-off projects from multiple parties
  • Escalate any special employee requests to a manager to determine proper handling
  • Occasionally assist the Facilities team with projects that need an extra set of hands


Qualifications Include:

  • Minimum of 3+ years experience in a Mailroom or Office Services Center
  • Strong written and verbal communication skills and ability to interface with executives at the highest levels of the organization
  • Intermediate level of PC skills including Outlook, Microsoft Word and Excel
  • Ability to lift/move heavy boxes as needed
  • Excellent customer service and follow-up skills while working with employees at all levels of the organization
  • Flexibility with scheduling depending on projects and team coverage
  • Experience with UPS, FedEx, international shipments & customs forms is a plus
