We are a resourceful, solution seeking, fast-paced and dynamic team that is currently seeking an Intake Specialist to join our firm.
The firm offers a generous compensation package and eligible employees may earn bonuses awarded in recognition of individual merit-based performance. Essential Duties:
- Respond to incoming leads from various platforms promptly.
- Conduct initial consultations to assess the potential of new cases.
- Present the firm's services and secure the client's agreement to proceed.
- Update the lead's status in the system as needed.
- Document the lead source if it’s not already captured.
- Ensure clients complete the required agreement.
- For electronic signatures, send the necessary documents via email.
- For in-person signings, arrange an office meeting.
- Collect all pertinent case information.
- Open a new case in the system and upload all relevant documents.
- Notify the appropriate attorney with a case summary and request assignment to a case manager.
- Respond to leads promptly and professionally.
- Accurately assess the viability of potential cases and effectively communicate the firm's value proposition to clients.
- Ensure all client information and case details are thoroughly documented and updated in HubSpot and Smart Advocate.
- Maintain a high level of organization and attention to detail in managing client intake processes.
- Foster positive relationships with potential clients and ensure a smooth transition from intake to case management.
Required Skills and Experience:
- Previous experience in a legal or customer service setting preferred.
- Strong communication and interpersonal skills.
- Speak Mandarin and Cantonese fluently since potential clients are Mandarin and Cantonese.
- Proficiency in using CRM systems (e.g., HubSpot) and case management software (e.g., FileVine, Smart Advocate).
- Ability to work independently and as part of a team.
- High level of professionalism and empathy in client interactions.
