Data and Reporting Specialist

Hybrid Remote/In-Person Full-Time (40 hours per week) Position in Castro Valley, CA (Non-Exempt)

Reports To: Associate Director of Data & Reporting

Ruby’s Place (RP) is an innovative nonprofit committed to ending domestic violence, human trafficking, and violent crime through hope, advocacy and connection. Our services include emergency shelter, transitional housing, rental subsidies, mental health services, and wrap around services. All our services are trauma-sensitive and client-centered and are provided at no cost to our clients. There are no barriers to participate in our programs.

What qualifications are required for this position?

You Are Also:

  • Someone with a High school diploma or GED.

  • Interested in processing data for a nonprofit service agency. 

  • Experienced in working in a mission-driven organization and in a capacity where information is sensitive in nature.

  • Able to work closely with staff throughout all agency departments. 

  • Someone with the ability to prioritize and complete tasks within established timeframes. 

  • Able to maintain confidentiality and integrity with data and comply with victims services laws.

  • Someone with strong computer skills and the ability to enter data into a computer quickly and accurately. 

  • Someone with strong attention to detail and ability to think analytically.  

  • In possession of a valid CA driver's license, proof of insurance, and be approved by Ruby's Place insurance as a driver in order to drive agency vehicles.  

  • Able to complete a background check, fingerprinting (Live Scan), and completion of all Community Care Licensing requirement documents.  Able to meet all licensing requirements of Community Care Licensing.

What You Will Do

The anticipated start date for this position is Summer 2024. This position is a hands-on position and is responsible for inputting a high volume of data from multiple sources, ensuring all necessary data is being entered and maintained, as well as assisting the Associate Director of Data and Reporting in reporting duties. In addition, the Data and Reporting Specialist must verify and edit data as needed as part of regular maintenance and follow up with staff regarding any irregularities or missing information.

Responsibilities include

  1. Data entry into specified data systems for reporting requirements

  2. Routinely complete monthly reports, maintaining organization and documentation practices

  3. Assist Associate Director of Data & Reporting with quarterly, bi-annual and annual reporting requirements including narrative writing, data entry, and communication with staff

  4. Assist staff with data system accounts and facilitate trainings on data system processes

  5. Verify and edit data across multiple systems as needed

  6. Log incomplete or missing items for correction by staff as needed

  7. Create and maintain documentation of processes and procedures

  8. Adhere to agency technology guidelines as well as legal and regulatory standards.

  9. Actively participate in meetings with supervisor. Attend all mandatory meetings including all staff meetings, team meetings and others as requested by the supervisor.

  10. Complete functional timesheets by assigned due dates in compliance with time allocations.

  11. Actively participate in reflective supervision sessions.

  12. Perform other duties as assigned.

Working Conditions

This position is eligible for hybrid in person & remote work. Time spent on-site versus remote working will be discussed and agreed upon with your supervisor.  You are expected to be available on-site as necessary given business needs. You must be able to stand for long periods of time and perform physical activities, including lifting up to 25 pounds. You will be subject to frequent interruptions and must be able to multitask and handle stress.

Local travel in the greater Bay Area may be required.

The pay scale for the Data and Reporting Specialist is  $28.72-$31.74 per hour (non-exempt). The benefits that come with working at Ruby’s Place at full-time hours include medical, dental, and vision plans, a life insurance policy, significant vacation, sick time, sabbatical, and immediate vesting in our 403(b) with a generous match. This is a full-time, 40 hours per week position. This is a hybrid position (flex work), with some days required in our Castro Valley Office. Applicants must be located in the greater Bay Area.
