Position Summary

ION is looking for a full-time, detail-oriented, and dedicated Assistant Office Manager to join our growing company. This role will play a crucial role in ensuring the efficient functioning of the office. This position involves a variety of administrative tasks, event coordination, and food & beverage management as well as supporting the General Manager in daily operations. The ideal candidate will be highly organized, possess excellent communication skills, and be capable of multitasking in a fast-paced environment.

Essential Duties and Responsibilities:

  • Assist the General Manager in planning and implementing office policies and procedures.
  • Manage office supplies inventory and place orders as needed.
  • Handle incoming and outgoing shipments, mail, and deliveries.
  • Assist General Manager in travel arrangements for staff.
  • Assist General Manager in planning, organizing, and execution of corporate events such as conferences, employee parties/events, and executive retreats.
  • Manage the inventory of pantry and kitchen supplies, including snacks, beverages, and office groceries.
  • Place food orders based on the office’s needs, dietary restrictions, and preferences.
  • Maintain office records, files, and databases, ensuring all documents are properly organized and accessible.
  • Assist in the office maintenance and cleanliness, liaising with vendors and service providers as necessary.
  • Handle confidential information with discretion and professionalism.
  • Provide general administrative support to the General Manager as needed.

Qualifications, Education, and Experience:

  • 1-3 years proven experience in an administrative, office management role or a related field of equivalent experience
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organizational and multitasking skill
  • Excellent verbal and written communication skills
  • Attention to detail and problem-solving skills
  • Ability to work independently and as part of a team.
  • Familiarity with office equipment and basic IT troubleshooting.
  • High school diploma or equivalent; additional qualifications in office administration are a plus.

Position Type/Working Conditions:

  • This is a full-time position working standard business hours. This position may require the flexibility to work diverse schedules, including evenings, weekends, and holidays. On occasion, this position may require up to 15% travel. Flexibility in work schedules and locations may be offered at manager’s discretion after demonstrated results in the role.
  • This position is for Boulder, CO location. The employee is required to be primarily in the office with some remote work allowable with prior approval.
