Job DescriptionJob Description

Position Description: The A/P & A/R Supervisor will be responsible for the supervision of A/R and A/P associates and their day-to-day job activities as well as serving as the back-up to these functions. The A/P & A/R Supervisor responsibilities also include maintaining the vendor master file, developing process improvements in the Accounts Payable functions by assisting with the implementation and maintenance procedures for ACH payments and electronic filing, and maintaining and developing improved contract tracking and filing system. The A/P & A/R Supervisor will assist the Senior Accountant with recording fixed asset information in project tracking worksheets and assisting supervisor with month end and year end journal entries.

Responsibilities include:

  1. Accounts Payable
    1. Lead implementation of ACH payment process
    2. 2.Develop policy and procedure for ACH payments
    3. Maintain Vendor Data in Accounts Payable System
    4. Create Vendor Master File
    5. Assist with Invoice Processing
    6. Assist with entering miscellaneous expense invoice
    7. Assist with month end accrual for Goods in Transit Inventory
    8. Prepare month end expense accruals
    9. Back up to Senior Accounts Payable Specialist
    10. Daily review and approval of all invoices entered into the Accounts Payable System
    11. Weekly review of cash disbursements with Controller
  2. Weekly Check Runs
    1. Including payment selection by due date, printing checks, obtaining the President’s signature on cash disbursements, and mailing checks
    2. Assist with submittance of ACH payments
  3. Assist with Developing File Scanning System
  4. Intercompany Reconciliation of Invoices
  5. Monthly Balance Sheet Account Reconciliations.
  6. Accounts Receivable
  7. Year End Invoice Accruals
  8. Year End Audit               
  9. Develop and Maintain Company Contract Tracking Sheet
  10.  Fixed Assets
    1. ​​​​​​​Maintain file folder of all Fixed Asset Purchase Orders and Requisitions
    2. Keep record of all Fixed Asset Purchase Orders by month and project
    3. Input Fixed Asset invoices into Accounts Payable system
  11.  Assist with preparing year end 1099 Tax Forms
  12.  Record Retention Management
  13. Assist with updates to Travel Policies

Qualifications include:

  1. A/S degree in Accounting/Business Administration, Bachelor’s degree preferred
  2. Five to ten years’ experience in accounting, preferably in a manufacturing environment
  3. Five to ten years’ experience with accounts payable and accounts receivable REQUIRED
  4. ACH Implementation Experience REQUIRED
  5. Experience with computerized accounting systems, preferably AS400
  6. Excellent written and oral communication skills
  7. Experience with Microsoft Applications. Advanced Excel experience preferred
  8. Prior supervision experience a must
  9. Excellent organizational skills
