Job Title: Accounts Payable (AP) Specialist**

 

**Job Summary:**

The Accounts Payable Specialist is responsible for managing and processing the organization’s accounts payable transactions. This role includes processing invoices, ensuring payment accuracy, maintaining vendor records, and supporting the month-end closing process. The AP Specialist will work closely with vendors, internal departments, and the finance team to ensure that all financial obligations are met promptly and accurately.

 

**Key Responsibilities:**

- **Invoice Processing:**
  - Receive, review, and process invoices for payment.
  - Verify invoice details, including amounts, payment terms, and authorization.
  - Match invoices with purchase orders and receipts.
  - Enter invoice information into the accounting system.

- **Payment Processing:**
  - Prepare and process electronic transfers and payments.
  - Schedule and prepare checks for disbursement.
  - Reconcile accounts payable transactions.
  - Ensure payments are made in a timely and accurate manner.

- **Vendor Management:**
  - Maintain and update vendor files and contact information.
  - Resolve any discrepancies or issues related to vendor invoices.
  - Communicate with vendors regarding payment status and inquiries.

- **Month-End Closing:**
  - Assist in the month-end closing process, including AP subledger reconciliation.
  - Prepare and analyze AP reports and schedules as needed.
  - Collaborate with the finance team to ensure accurate financial reporting.

- **Compliance and Controls:**
  - Ensure compliance with company policies and procedures.
  - Maintain proper documentation and records for audits.
  - Assist in the development and implementation of AP policies and procedures.

- **Continuous Improvement:**
  - Identify and implement process improvements to enhance efficiency and accuracy.
  - Stay updated on industry best practices and technology advancements in accounts payable.

 

 

**Qualifications:**

- **Experience:** 
  - 2-4 years of experience in accounts payable or a similar role.
  - Experience with accounting software (e.g., SAP, QuickBooks, Oracle).

- **Skills:**
  - Strong attention to detail and accuracy.
  - Excellent organizational and time-management skills.
  - Proficient in Microsoft Office Suite, particularly Excel.
  - Strong communication and interpersonal skills.
  - Ability to work independently and as part of a team.

- **Knowledge:** 
  - Understanding of basic accounting principles.
  - Familiarity with ERP systems and AP automation tools.

**Working Conditions:**

- Standard office environment.
- Occasional overtime may be required during peak periods, such as month-end or year-end closing.
