Job Title: Office Administrator/ Bookkeeper

Purpose of Job:

We are looking for an Office Administrator/Bookkeeper for our construction company’s daily operations. You will work closely with the Owners to oversee general office and financial functions, including day to day operations, payroll, accounts payable/receivable, expense reports, and basic financial statements. Your duties will include compiling and reviewing financial information, preparing financial paperwork, assisting with payroll processing, and maintaining records. You will also be required to perform general administrative tasks.

To be successful in this position, you should be familiar with various Microsoft programs and have a firm grasp of basic accounting principles and practices. You should be well-organized and have an aptitude for numbers.

 

Job Components:

  • Daily accounts receivables and accounts payables processing.
  • Responsible for invoicing customers and completing all corresponding paperwork.
  • Responsible for getting approval and the timely payment of all accounts payable.
  • Responsible for the preparation and processing of all payroll.
  • Generates payroll checks and direct deposits.
  • Create and file all payroll tax payments, quarterly and annual payroll tax returns. Ensure that they are submitted timely and accurately.
  • Accurately compile payroll data such as new hires, terminations, garnishments, paid time off, pay changes, and 401(k) deductions.
  • Responsible for answering job related phone calls.
  • Maintain computer, network and phone systems. Work with IT support as needed.
  • Reconciles bank and credit card statements.
  • Enters finalized receipts and updates accounts receivable ledger by customer.
  • Verifies and posts details of business transactions, such as funds received and disbursed, and totals accounts.
  • Compiling and reviewing financial information.
  • Preparing financial forms, documents, and reports.
  • Assisting with the preparation of budgets and financial statements.
  • Preparing credit card expense reports.
  • Maintaining records and filing systems, including digital filing in Dropbox.
  • Performing other duties as required.
  • Ability to meet pertinent corporate, accounting, federal and state tax filing deadlines.
  • Ensure payroll data is complete and accurate in order to create yearly W2/s for employees.
  • Report to work on a regular and consistent basis.

Qualifications:

  • Minimum 2 years accounts payable/accounts receivable or bookkeeping experience.
  • Previous experience overseeing administrative operations preferably in a construction company setting.
  • Exceptional computer skills required, i.e. Quickbooks, Microsoft Word and Excel.
  • Ability to write coherent emails consistently.
  • Must be able to work independently, manage time proficiently, problem solve, and make decisions based on knowledge and outcome probability.
  • Ability to apply common sense understanding to carry out instructions.
  • Associate or bachelor's degree.
  • Working knowledge of basic accounting principles and practices.
  • Excellent analytical, communication and interpersonal skills.
  • Ability to work under pressure.
  • Excellent organizational skills.
  • Ability to demonstrate excellent interpersonal and communication skills in dealing with all levels of personnel.
  • Ability to use critical thinking skills.
  • Ability to perform mathematical computations.
  • Knowledge of payroll and accounts payable procedures.
  • Basic knowledge of current payroll and tax laws.
  • Knowledge of federal and state tax preparations and deadlines.

Job Type: Full-time

Pay: From $50,000 per year depending on experience.

Expected hours: 40 per week
