Executive Assistant to CEO

Our client, in Chester County, PA is seeking an Executive Assistant to join the team to support the CEO.
This role is onsite four days a week.
Duties include, but are not limited to:
Provide confidential administrative support to CEO and the Leadership team as required.
Manage and maintain CEO's high-volume calendar with meeting scheduling, meeting preparation, travel plans and more. Determine high priority tasks and adjust schedule as needed.
Utilize corporate calendar by adding company meetings, events, and activities as well as industry meetings to enable longer term resource planning for the Executive.
Proactively anticipates the needs of the Executives and makes recommendations for more efficient and effective processes. Follow up on needs, requests, and outstanding items proactively.
Providing support to Leadership team with implementing new ideas and processes.
Coordinating the implementation of initiatives, from development through execution, in conjunction with the Leadership team. Tracks initiatives to ensure deadlines are met and proactively anticipates potential challenges.
Partner with colleagues to support the Leadership team as required with tasks such as implementing new business strategies, company events, follow up on timelines, meeting cadence scheduling and more.
Manage Board of Directors support including but not limited to coordinating meetings, creating meeting schedule, events, workshops, PowerPoint presentations, pamphlets, AV equipment, memos, reporting and analyze data with high level of confidentiality.
Liaison of the CEO to Leadership team and/or at all levels when required.
Screen and direct phone calls and distribute correspondence. Draft communication on behalf of Executive when required.
Process and coordinate travel and expense reporting when required for the Executive.
Oversee projects that do not align within the organization and assist with departments and Leadership for project assignments.
Handle confidential information and sensitive materials with complete discretion.
Manage information flow in a timely and accurate manner.
Manage paper and electronic files.
Other tasks as required.
Qualifications:
High School Diploma or equivalent work experience is required.
Bachelor’s degree preferred.
Proficiency in MS Office suite and excellent technology acumen.
Outstanding organizational and time management skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Exceptional organizational and interpersonal skills such as the ability to build relationships with stakeholders including staff and external partners.
Superb written and verbal communication skills, including the ability to ask clarifying questions with internal and external partners.
Problem-solving and strong professional decision-making capability.
Able to work in a growing fast-paced environment.
