Job Summary:

We are seeking a highly motivated and organized Entry Level Event Assistant to join our dynamic events team. The ideal candidate will support the planning, coordination, and execution of a variety of events. This role is perfect for someone with a passion for event planning, a keen eye for detail, and a desire to grow within the event management industry.

Key Responsibilities:

Event Preparation:

  • Assist in the planning and coordination of events, including corporate events, conferences, weddings, and social gatherings.
  • Support the Event Manager with vendor research, venue selection, and budget tracking.
  • Help in preparing event materials such as invitations, agendas, signage, and promotional items.

On-Site Support:

  • Aid in event setup, including arranging decorations, seating, and equipment.
  • Provide on-site support during events, including registration, guest assistance, and coordination with vendors.
  • Assist in resolving any issues or emergencies that arise during the event.

Post-Event Activities:

  • Assist in the breakdown and cleanup of event sites.
  • Gather and organize feedback from attendees, vendors, and team members.
  • Contribute to post-event reports, including budget analysis and attendee evaluations.

Administrative Tasks:

  • Maintain event databases, contact lists, and inventory records.
  • Support the team with general administrative tasks, such as scheduling meetings and managing communications.
Qualifications:

  • High school diploma or equivalent; a degree in Event Management, Hospitality, or a related field is a plus.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously.
  • Strong communication and interpersonal skills.
  • Attention to detail and a proactive approach to problem-solving.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work both independently and as part of a team.
