Job DescriptionJob Description

This position is primarily responsible for providing administrative support to the providers of Annapolis Internal Medicine, LLC., the clinical support staff as well as care coordination for the patients. The roles and responsibilities of this position include, but are not limited to:

  • Operating a multi-line phone system to answer incoming calls and retrieve voice mail messages. The employee must be able to respond to patient inquiries, direct callers to the appropriate staff member or initiate a clear and precise message for response by medical personnel.
  • Scheduling appointments within our Athena EMR system for patients in accordance with establishment procedures.
  • Greets and directs patients, salespeople and visitors in a polite and friendly manner.
  • Check-in at the front desk, verify insurance eligibility, collect co-pays and outstanding balances. Employees who collect payments must balance and reconcile daily reports. Utilize DocResponse dashboard as well as Athena.
  • Provide coverage in our AIM Clinic on Saturdays from 8-2pm (scheduled on a rotating basis)
  • Verify Medicare Wellness Exam and commercial annual physicals ahead of time to ensure visits haven’t been made too early.
  • Monitor working environment to assure effective use of resources and efficient patient flow.
  • Use EMR proficiently and remain up to date on all functions of the EMR for the clerical setting by use of the learning portal and various continuing education in Athena.
  • Communicates between patients, physicians and medical personnel to complete call-backs, scheduling, chart exporting, re-directing results to the ordering physician as needed and other various administrative tasks (please refer to float protocol)
  • Sorting, scanning and processing documents into the patient’s chart.
  • Perform chart export/compile medical records for requests that come to our office from various sources (patient, hospitals, surgery centers, etc.)
  • Registering patient for our Patient Portal either by directly registering them through the computer or sending them an invitation to join.
  • The ability to sign into various websites to check patient eligibility such as Carefirst, Aetna, United Healthcare, etc.
  • Check physical exams in advance to make sure they haven't been scheduled too soon.
  • Obtaining results and consult notes from various providers to ensure we have adequate records for our patients when they arrive for their visit.
  • Sort physician mail daily once it’s been brought over from the business office.
  • Provide coverage at check-out, as needed.

  • Language skills-the ability to read and comprehend instructions such as short correspondence and memos; the ability to write and type correspondence that is clear and concise.
  • Basic mathematical knowledge with the ability to calculate figures and amounts such as balances, discounts and percentages.
  • Basic computer skills and the ability to troubleshoot.
  • Must be able to multitask.

REQUIREMENTS/CERTIFICATIONS

  • High school diploma or general education degree (GED); one-two years related experience and/or training preferred, but not required.
