Job DescriptionJob Description Position: Confidential Finance Manager Location: Philadelphia, PA – HybridEmployment Type: Direct HireThis individual is responsible for overseeing the finance functions, including supervising, and performing confidential accounting activities such as financial reporting, time keeping, billing, A/P and A/R, payroll, etc. They will be accountable for overall financial planning and management for the organization, including the following confidential responsibilities:
  • Supervises and oversees the daily operations of the accounting department.
  • Plans and implements annual budget.
  • Handles financial and tax reporting.
  • Manages general ledger and trust accounting.
  • Assists with billing and collections.
  • Controls cash flow.
  • Manages banking relationships and reviews bank deposits.
  • Ensures compliance of trust account(s) with applicable regulations and requirements.
  • Reviews and approves accounts payable.
  • Prepares financial reports for partner meetings and as requested by Managing Partner or other partners.
  • Assigns projects and directs staff to ensure compliance and accuracy.
  • Guides billing coordinators by researching and interpreting accounting policy; applying observations and recommendations to operational issues.
  • Develops confidential processes, procedures, and guidelines for the billing department.
  • Handles accounts payable, including posting all payable invoices to general ledger accounts and making payments.
  • Processes all expense reimbursements, reconciles credit card statements, processes refunds.
  • Maintains trust accounts, processes transfers, and applies them to matters.
  • Handles wire transfers, identifies, and posts them.
  • Payroll: posts payroll to general ledger, tracks payroll deductions (Transit, Health Insurance, Health Savings Account, etc.), maintains 401K deductions and payments.
  • Orders transit checks and distributes them to employees.
  • Maintains income spreadsheet.
  • Reconciles bank accounts.
  • Conducts research for Partners, Associates, and Paralegals.
Preferred Skills and Experience:
  • Team management skills.
  • Proven work experience in a supervisory role.
  • Experience with legal billing software (or equivalent accounting software).
  • Demonstrated proficiency with MS Office, specifically Excel.
  • Ability to multitask and prioritize confidential tasks.
  • Ability to organize workflow and use time efficiently.
  • Strong attention to detail.
  • Ability to perform at a high level in a fast-paced, ever-changing work environment and successfully adapt to changing priorities and work demands.
  • Ability to anticipate work needs and follow through with minimum direction, following up on own initiative.
  • Flexibility to adapt to all situations and work varied hours, possibly including weekends or evenings.
  • Ability to effectively interact and communicate confidentially with attorneys, paralegals, secretaries, and clients.
Education:
  • BS degree in Accounting or Finance
  • Accounting Certification is a plus.
